**Project Manager, Events**

**Timeframe: May 15, 2024-November 15, 2024**

**Work hours: 20-30 hours /week**

**Compensation: $20,000-$30,000**

**Work Location: In office 1 day /week + remote work**

MRG Events is seeking an experienced event project manager proficient in budgeting, planning, and execution across various event sizes. The incumbent must excel in scheduling and team leadership, possessing a blend of creativity and logic, as well as exceptional client management skills. They must also display the ability to handle multiple stakeholders and prioritize collaboration within projects.

As the Events Project Manager, you will lead the planning and execution of events of all sizes working closely with the core events team:

- Car Free Day Surrey, June 8th
- Khatsahlano Street Party, July 6th
- Metro Vancouver & TransLink at the PNE, August 17th-September 2nd
- Flats Festival, September 7th
- Car Free Day initiatives, ongoing

**The Position**
- Oversee development and execution of events, initial planning to post-event reconciliation.
- Help develop event budgets, and manage, track and reconcile project budgets.
- Process all event invoices and payments as required.
- Create and manage project task lists and critical path timelines, detailed event schedules, event scripts and related key event documents.
- Review immediate tasks required for each event and assign to various team members.
- Collaborate with operations and production team members to ensure deliverables are met.
- Direct project teams for all assigned events and provide overall quality control of event production by both internal and external resources.
- In collaboration with MRG Events Programming team, ensure talent procurement is moving along and there are arrangements made for travel logistics, rider fulfillment and technical requirements.
- Manage cheque requisitions for talent deposits and payments due with accounting team and clients.
- Manage client relations ensuing effective and timely communication between project team and all other stakeholders.
- Obtain all required venue and event permits.
- Collaboratively identify needs for event about transportation, parking, permits, loading zones, street closures and related transportation.
- Determine event hospitality requirements, source and contract hospitality and VIP services as determined by project.
- Create project contingency plans to deal with major threats to project success, including inclement weather, power failure, talent no-show, etc.
- Foster a team environment at the site and during the event in which empowerment, consultation and communication are the norm.
- Post-production reports that identify key project successes, areas needing improvement and suggestions for revising operational processes or systems to improve efficiency and cost-effectiveness.
- Work with the accounting and event team to reconcile all financial aspects of project.
- Manage conflict resolution of sub-contractors, interest groups and artists within the best interests of the client and company.
- Arrange client meetings, site surveys, and help prepare presentations and agendas required for meetings.
- Oversee the Production Schedule and ensure timeline is followed.
- Oversee the Master Supply List, working with the Site Manager.
- Help prepare event contracts for municipal clients and event partners.
- Other tasks as assigned.

**Knowledge, Skills, Abilities**
- 3-5 years experience as an event manager/producer in large-scale event planning.
- Experience managing project team members and contractors.
- Excellent client relations and management skills.
- Proven ability to successfully manage large project budgets.
- Experienced and comfortable working with G Suite (Drive, Docs, Sheets, Gmail, Calendar, Forms etc.)
- Highly organized, able to manage competing priorities and maintain attention to detail.
- Excellent communication skills, fostering strong relationships and effective conflict resolution.
- Growth & entrepreneurial mindset and desire to take initiative.
- Understanding of event permitting, insurance and risk management.
- Understanding of sponsorship relationships in the context of event environments.
- Certificate in event planning, hospitality management, project management or event production an asset.
- Experience working with government clients, boards, committees, or stakeholder experience an asset.
- Ability to lift 50lb.
- Class 5 Drivers License & access to a vehicle.
