Pound & Adoption Coordinator

**POUND & ADOPTION COORDINATOR (PAC)**

The primary functions of the Pound & Adoption Coordinator are to provide operational and administrative support to assist Animal Control Officers and the Senior Animal Control Officer (SACO) to efficiently and professionally carry out their duties.
Other duties involve conducting clerical/office tasks, providing information/service to the public, delegating tasks and providing direction & guidance to the Kennel Keeper and/or Pound & Adoption Assistant.
The PAC is also responsible to ensure the overall health and well-being of all animals in the Pound and to develop and maintain contacts with other organizations to promote the adoption of unclaimed animals being kept in the Pound.
**Duties include but are not limited to the following**:
1. Answer & respond to telephone and walk-in enquiries.
2. Answer & respond to radio transmissions.
3. Obtain complaint information from callers and accurately communicate information to ACOs verbally, or by radio, or by written record.
4. Complete accurate queries of computer databases.
5. Read various paper records to identify information required for data entry AND accurately enter this information to computer databases.
6. Maintain quality of database information - audit & correct data entry errors.
7. File and retrieve paperwork as per established methods.
8. Mail collection, date stamping & distribution (or delegate).
9. Produce accurate monthly billing invoices for SACO approval.
10. Produce accurate monthly statistical reports for SACO approval.
11. Assist bookkeeper by accurate completion of Daily Revenue Reports, verify cash float and make-up accurate bank deposits.
12. Provide bookkeeper with month-end revenue totals earned from Poundkeeping & Adoption activities and work to verify/balance totals.
13. Cash handling; debit & credit card transactions; use P.O.S. terminal; end of day closing procedures.
14. Accurate completion of legal paperwork (impound & release forms, dog licences).
15. Assist public to find missing pets by providing information & checking records.
16. Prepare Adoption paperwork packages for all animals on the Adoption List.
17. Show: Found & Adoption animals to re-unite or screen/match to re-home animal.
18. Take digital photos of animals and transfer to computer file storage (or delegate).
19. Create informative and interesting write-ups to promote animals for adoption.
20. Publish/remove, information/photos on websites to display/advertise animals in the Pound & Adoption Centre.
23. Maintain security and confidentiality of the Pound & Adoption Centre facility.
24. Conduct searches of various records to fulfill Freedom Of Information requests.
25. Ensure computer records are regularly backed-up on an external device.
26. Provide volunteers with guidance/direction/supervision.
27. Monitor and order various office, pound and veterinary supplies.
28. Conduct initial check of each animal that enters the Pound to ascertain its general overall health and determine whether the animal is in need of immediate veterinary treatment or requires special care or isolation.
29. Identify and administer anti-flea &/or worming medication where appropriate.
30. Inspect on a daily basis the health and well-being of every animal in the Pound.
31. Determine spay & neuter status of all animals that become available for adoption Schedule surgeries, fast animals, ensure aftercare tasks are completed (delegate where necessary).
32. Provide the SACO with recommendations and advice concerning individual animals and their health care requirements.
33. Identify and consult with the SACO regarding animals that are not adoptable, explore alternatives, make euthanasia appointments and disposal arrangements as required.
34. Clean kennels, feed animals, administer medications, complete general housekeeping tasks when required.
35. Photograph and examine deceased animals to identify ownership.
The PAC must be a self-starter and be highly organized in their work habits. They must be extremely reliable and have an eye for detail. The PAC must be professional at all times and be able to communicate effectively to manage a wide range of circumstances. The PAC must be physically capable to walk and restrain large, unruly dogs in various weather conditions and lift weights up to 50 pounds.
The PAC must possess superior computer skills and be very experienced with MS Office (Word & Excel). Applicants with Tempest experience will be an asset.
The PAC will seek direction from the Senior Animal Control Officer or delegated Officer in matters beyond their responsibility or expertise.
