**The Facility Coordinator, Meetings & Events **ensures the operation, maintenance, and coordination of all meeting spaces and events at the GTA Campus. In addition, the Coordinator supports Facility Operations functions optimizing utilization of the organization's facilities and assesses and evaluates the physical space requirements of the organization with recommendations to meet needs, ensuring proper functioning of facilities through ongoing inspection and maintenance.

**MEETINGS & EVENTS**

Oversees all aspects of event planning, including budget & finances, contracts (in partnership with Corporate Events team), timelines, staffing, and vendors
- Identifies all staffing needs in the organization/planning and execution of events
- Represents the events (and McKesson) with outside parties including sponsors, vendors, and other stakeholders
- Organize registration of participants, prepare programs and promotional material, and publicize events
- Develops ongoing and sustainable approach for highly complex meetings & events

- Assist with creation and assembly of event printed materials
- Assist with on-site employee events
- Build strong relationships with key business stakeholders by monitoring and listening to feedback.
- Create event reports from on-line registration websites and other sources
- Monitor utilization and provide information on trends, needs, and opportunities.
- Partners with facility operations team on setups and support needs, management of café partner for vending, catering, and day-to-day operations
- Partners with corporate communications team on events and townhalls
- Oversees the maintenance and operation of the fitness centre and serves as the facility operations team representative on the wellness and social committees

**FACILITY REPAIRS & MAINTENANCE**
- Responsible for loading dock maintenance including storage, receiving shipments, tracking shipments for internal delivery, and overall maintenance.
- Performs general maintenance tasks including sweeping, general cleaning, garbage removal, etc.
- Inspects daily exterior areas, door/window closures, door handles and hinges and other like devices and reports findings to Assistant Facilities Manager
- Complies with all applicable codes, regulations, governmental agency and Company directives related to building operations and work safety.
- Reviews assigned work orders. Estimates time and materials needed to complete repair. Order necessary materials and supplies to complete all tasks.
- Assembles, repairs or relocates furniture as required. Responsible for cubicle and/or workspace moves and cleanouts
- Assists in construction and renovation projects
- Responds quickly to emergency situations, summoning additional assistance as needed.
- Manages the work order process by generating and dispatching service request work orders to multiple subcontractors and vendors, communicating work orders to technicians on priority orders and assists management in resolving problems.
- Responsible for closing work orders on a weekly basis.

**FACILITY AND ADMINISTRATIVE SERVICES**
- Checks coffee rooms, refrigerators and small appliances to ensure cleanliness and their operation
- Replies timely to all work orders submitted by employees regarding deficiencies in equipment and building systems
