General Duties:

- Welcome visitors and clients and help them accordingly *
- As the building is closed to the public, answer the door when the bell rings and ask what the purpose of their trip is. If it is a caretaker, advise the Property Manager/Assistant to come to the door, unless you are given instructions or left a package for them
- Check the Drop Box regularly and retrieve contents and distribute accordingly
- Check faxes and print/forward accordingly.
- Check voice mail; forward to the correct mail box, or respond if necessary then delete.
- Answer phones and transfer to appropriate person. Take message if required.
- When asked, check ledger for tenant to see if Security Deposit cheque has been processed/mailed out and confirm forwarding address. Forward call to PM if cheque not processed in the given time frame or if there is an amount owing for damages refer to appropriate Property Manager first, then Elsa
- Send courier requests to Sierra, note in logbook, print invoice & file in Sierra folder.
- Send out of town courier requests to Purolator
- Sign for courier deliveries & deliver to appropriate person.
- Receive, sort, date stamp, code where appropriate and distribute incoming mail
- Enter move in/out dates and tenant names on Residential Hydro bills for billing purposes.
- Ensure residential building hydro bills are stamped, coded first, put in numerical order, put in yellow folder and put in Desiree P's mail slot
- Year End Rent Receipts -All current tenants will receive a rent receipt from the Caretaker of the building. If a rent receipt has not been received, review Tenant's ledger to ensure it is up to date. If account is in arrears, forward to Elsa. Enter note in memo.
- Ensure the reception area is clean and presentable.
- Keep the physical & online Front Desk Handbook up to date with all policies and procedures.
- All other duties as requested.

Requirement:

- 1-2 years experience in Reception
- Teamplayer
- independent
- familiar with Microsoft Office
