**Team & Job Overview**

The EDC Corporate Services team is currently looking for an enthusiastic, self-motivated, customer-centric and administrative professional to fill the role of Regional Office Administrator in Montreal (QC). This role will appeal to a highly organized individual, with a strong service orientation, who wants to deliver the best in-office and hybrid experience to EDC employees, clients, and partners.

The Regional Office Administrator will be part of the staff supporting the Regional Vice President for the Quebec region and a team of over 100 professionals working primarily from the EDC Montreal office.

**Discipline Summary**
- Ensures the optimal utilization of the organization's facilities.
- Provides various location support activities and acts as the first point of contact for internal facilities issues, and logs all maintenance, cleaning and office/location services and refers related issues to the appropriate parties.
- Assesses and evaluates the physical space requirements of the organization and recommends plans to meet needs.
- Ensures proper functioning of facilities through ongoing inspection and maintenance.
- Coordinates and executes the planning and provision of accommodation and hospitality requirements. Oversees opening, sorting, and routing of incoming mail and makes preparations for outgoing correspondence, post, mail and packages or organizes special mailings.
- Coordinates the receipt, storage and issuance of stationery and office supplies; oversees periodic inventories and reorders items as required. Facilitates access to the premises (access card/security services).
- Is responsible for conference room bookings and welcoming of external guests.
- Act as the initial point of contact for technology issues experienced in conference and meeting rooms (technology tools in the conference rooms -including MS Surface Hubs-, projections on the screens via MS Teams or via the sharing tools on the desktop, use of the room's Spider, etc.).
- Acts as the point of contact for Health and Safety for the office (communicate to employees the office emergency measures, particularly in the event of an evacuation of the building).
- Instills a culture with internal staff that the office space is respected and well maintained and presentable.
- Work collaboratively and communicate with both the HQ Facilities team and the Regional vice president on daily issues/concerns as it pertains to the office.

**Key Responsibilities**
- Welcomes and assists employees as well external guests about office requests or onboarding of new hires during regular business hours from Monday to Friday.
- Provides operational support to facilities services in the form of hospitality, the management of mail, courier and/or freight, maintenance, and space planning.
- Maintains office equipment and general areas.
- Ensures the people present in the office are respectful of the space and contribute to keep it well maintained and presentable after usage.
- Coordinates office events and conference room bookings.
- Ensures the set-up and clean-up of all hospitality requirements for meetings and receptions.
- Liaises with suppliers to ensure that orders and inventory requirements are met.
- Works collaboratively and communicates with both the head office Facilities team and the Regional vice president on daily issues/concerns as it pertains to the office.
- Acts as the onsite liaison with the property management company and/or the landlord.
- Supports the regional teams with potential catering and meeting-related requests.
- Collaborates with Safety & Security Services to maintain and provide as necessary, employee access.
