**Position Description - Mortgage Assistant**

**1. Purpose of the Position**

The Mortgage Assistant is responsible for providing administrative and back-end database and client support services in order to ensure effective and efficient client and mortgage transactions the Broker.

Basically I am looking for a superstar who can effectively manage, re structure and improve my business through administrative and marketing abilities.

The Mortgage Assistant reports the broker who has elected to subcontract the Mortgage Assistant’s services. The Mortgage Assistant is responsible for providing administrative, marketing, clerical, database and client management services. Providing these services in an effective and efficient manner will ensure client and mortgage transactions are maintained in an effective and efficient manner.

**3. Responsibilities**
- The Mortgage Assistant is expected to be on site at 775 Blackburn Mews from 9am to 5pm with a paid hour for lunch, to be taken at the Assistant’s discretion.
- Provide administrative support to ensure that client and mortgage transactions are maintained in an effective, up-to-date and accurate manner.

Main Activities:

- Document and condition management and follow-up from clients, lawyers, appraisers, lenders, titles companies, etc.
- Follow-up with lawyer before closing to review mortgage terms and any particulars
- Keep realtor informed of mortgage process and any issues (protecting client’s confidentiality)
- Booking client appointments as required
- Making changes to mortgage documentation and approvals.
- Completing and providing compliance sign-up packages.
- Scarlett / GoMax CRM management
- Handle post-funding file inquiries from clients
- Liaise with the broker on upcoming mortgage renewals and follow up required to achieve retention
- Maintain database of ongoing files and progress to be shared with the broker
- On an as-needed basis:

- Holiday mail-outs to clients and referral partners
- Closing gifts/letters to clients and referral partners
- Event planning as necessary
- Manage client interaction, for example:

- Greet and assist with drop-in clients
- Direct daily calls to clients and respond to simple inquiries
- Perform other related duties as required.

**Knowledge**
- Knowledge of office administration, client files, and database management procedures
- Ability to maintain a high level of accuracy and confidentiality concerning client and mortgage files
- Knowledge of mortgage underwriting processes and procedures
- Ability to learn new technologies quickly (Mortgage file system, lender portals, CRM, etc)
- Experience with Microsoft Office (Excel, Word, Outlook)

**5. Working Conditions**

**Physical Demands**

The Mortgage Assistant will spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Mortgage Assistant will also have to do some lifting of supplies and/or files from time to time.

**Salary**: $24.03-$26.44 per hour

Supplemental pay types:

Ability to commute/relocate:

- Kingston, ON K7P 2N5: reliably commute or plan to relocate before starting work (required)

**Experience**:

- mortgage: 1 year (preferred)
- Marketing: 3 years (preferred)
