Staffing Coordinator

**Position Summary**:
**Key Responsibilities**:
- Work closely with General Managers, Operations Manager, Project Managers & Site Supervisors to establish current and future hiring needs.
- Develop cost-effective, state-of-the-art recruiting strategies for each open position.
- Interact with client to determine staffing requirements and schedules.
- Interview job applicants via phone and in-person to match their skills and qualifications as defined by job description and hiring manager, record and evaluate applicant experience, education, training, and skills.
- Inform applicants of job openings and details such as duties and responsibilities, compensation, benefits, schedules, working conditions, training programs, and promotion opportunities.
- Select qualified applicants and/or refer them to the hiring manager, follow up as needed.
- Maintain records of applicants not selected for employment based on company retention schedule.
- Maintain appropriate spreadsheet including manpower request, job details and site requirement info.
- Review current “benched list” for available MISTRAS employees.
- Partner with Marketing & Corporate Recruiting to design & develop building “Hiring” signage.
- Post ads on relevant website and MISTRAS Career Page and use buffers for all MISTRAS social media for business needs, utilize Corporate Recruiting to assist when needed.
- In coordination with the Regional HR Manager, plan & organize career fairs and other recruiting related events at the regional labs & other defined locations; Coordinate with Corporate Recruiting staff for marketing & needed supplies.
- In coordination with the Regional HR Manager, plan & organize college & technical schools career events; collect resumes & screen graduating students as well as communicate with the Director of students for alumni, current & future applicants.
- Produce hiring related reports and analysis as required.
- Assisting with the immigration process as needed.
- Review resumes and request all supporting Quality Assurance documentation needed to determine certification(s); Complete QA checklist with all supporting QA documentation for certification(s).
- Create calendar notices to include HR and QA departments.
- Proceed with the hiring process including performing reference, UKG Onboarding, as well as ensuring that paperwork is complete, schedule drug testing, run background check, assign internal required training, schedule for physical (if required).
- Plan and execute all aspects of new-hire orientation.
- Perform salary market analysis.
- Develop and revise job descriptions as needed.
- Preparation of offer letters.
- Act as a liaison between various Mistras locations to facilitate and encourage intercompany transfers of employees to assist with short term projects.
- Work closely with the QA dept on all exam results including re-training, re-testing & re-certifications.
- Keep track of all drug test results and monthly DISA (or equivalent) random notifications and results.
- Help to track employee turnover and aiding in retention efforts, which include conducting exit interviews and ensuring proper procedures are followed when an employee leaves the organization.
- Help to research and coordinate training and development activities.
- Schedule employees for safety council.
- Assist employees with a “pre-employment timesheet”.
- Submit employee badge request information to the PM/Site Supervisor/Site Admin.
- Provide employee job details such as start date &time, shift hours, site address &contact information.
- Complete other duties and projects as assigned, especially provide help in her field of competence to other regions when needed.
**Education and Work Experience**:
- Minimum of five (5) years of experience in operational and or human resource areas.
- Bilingual French/English.
- Knowledge of non-destructive testing an asset.
- Strong communication skills to promote good team environment.
- Strong organizational skills: must be able to multi-task, handle multiple priorities and changes in priorities with professional demeanour.
- In-depth knowledge of HRIS Systems, Microsoft office, Excel and PowerPoint.
- Solid business writing skills.
- Superior interpersonal skills.
- Strong presentation skills.
- Well-developed organizational, analytical, and follow-up skills.
