- Qualifications- Post-secondary courses in Human Resources Administration from a recognized community college would be an asset.
- A combination of required education and a minimum of four (4) years related experience is expected.
- Sound knowledge of associated collective agreement provisions, the Employment Standards Act, and the Education Act and

associated regulations.
- Possess demonstrated ability to use personal computers and associated software, such as SmartFindExpress, Microsoft Word,

Microsoft Excel and Microsoft PowerPoint, and have previous experience using an integrated Human Resources/Payroll

computer system.
- Ability to follow established Board Policies and Procedures.
- Ability to use tact, discretion and maintain information in the strictest of confidence.

A. Job Identification:
Title: Absence Dispatch Clerk

Department: Human Resources

Immediate Supervisor: Manager, Human Resources

B. Job Summary:
Under the direction of the Manager, Human Resources, the Human Resources Officer/SmartFindExpress (SFE) Operator is

responsible for assisting with daily employee inquiries with regards to absences/replacements in SFE, preparing

correspondence and dealing with matters pertaining to SFE
- C. Duties and Responsibilities:
- Train school SFE administrators to effectively maintain their school’s absences & replacements
- Provide SFE login and user information to all employees of the board
- Investigate and respond to concerns regarding SFE call discrepancies & anomalies
- Bi-weekly absence reason code verification
- Perform daily downloads from HRIS to SFE, keeping SFE updated with staffing changes
- Provide weekly absence/replacement reports
- Maintain & disseminate the list of absence reason codes
- Daily absence tracking and reporting and ad-hoc reporting based on Ministry and/or Board requirements
- Correspond with School Administrators with regards to employee absences
- Deliver presentations to Board employees when required (ie: PD sessions)
- Coordinate employee placement and SFE updates when Fifth’s Disease is diagnosed in a school
- Monthly report completion for Ministry of Education
- Coordinate and assist with the annual completion of the Occasional Teacher’s Application form
- Ensure all on boarding documentation is complete to set up new occasional teacher in HRIS
- Track, record, calculate and enter new occasional teacher information for experience and seniority purposes.
- Maintain the Occasional Teacher, non-teaching occasional, unqualified employee files & lists
- Keeping all occasional employees updated with new information, relevant to their position
- Respond to inquiries
- Gather, analyze and prepare data reports as it relates to employee attendance, absence tracking, and other ad hoc

data/reporting requirements.
- Perform other duties as assigned which are unplanned or of a transient nature and are consistent with the above job summary

and duties.

D. Qualifications:
