In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. The Secretary, Planning Module/Radiation Therapy, VICC provides secretarial and administrative support within a team setting.
**What you’ll do**
- Arranges meeting times, books meeting rooms, notifies attendees, and circulates relevant materials as requested. Acts as a recording secretary by preparing agenda; drafting, typing and distributing minutes of various meetings. Initiates and takes follow-up action as indicated in minutes.
- Using word processing software types, formats and edits documents such as correspondence and memos from transcribing equipment, handwritten or electronic drafts. Drafts routine items for signature as required.
- Prepares presentation materials such as abstracts, posters, papers, handouts and slides for educational sessions, workshops and conferences, as directed.
- Screens and prioritizes calls from all sources including patients; refers calls to other parties or provides information as appropriate. Greets visitors and handles enquiries.
- Maintains a schedule of appointments for appropriate individuals.
- Opens, screens, prioritizes and distributes incoming mail. Maintains files of incoming and outgoing information and correspondence.
- Maintains Process manuals including Directive and Procedure manuals, by typing updates and distributing copies as requested.
- Maintains own workload statistics; collects, collates and types statistics for the Processes.
- Participates in inter-Process meetings for patient flow or workload related meetings.
- Maintains the timebook for the relevant areas.
- Books hotel accommodation and makes travel arrangements.
- Responds to telephone calls from patients and hospital staff regarding temporary accommodation; records demographic, medical and personal information on each patient and forwards information for booking purposes.
- Performs other related duties as assigned.
**What you bring**
**Qualifications**:
- Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription and three years recent related experience or an equivalent combination of education, training and experience.

- Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
- Ability to keyboard at 60 w.p.m.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Ability to organize work.
- Physical ability to carry out the duties of the position.
- Ability to operate related equipment.
