**Opportunity**

**Position**:We are seeking an experienced **Donations Clerk** to aid our Donor Financial Services group in the processing of donations and providing general financial support. You will engage with donors on a regular basis and ensure accurate and up to date information is input into our database and maintained at all times. In addition to providing support within our Finance department, this role is also responsible for postal coordination for the Provincial Office.

**Status**: Full-time, Permanent

**Location**: Onsite, Provincial Office in Stouffville, Ontario

**A Typical Day**
- Responsible for opening mail while ensuring that all financial controls for the handling of cash and cheques are met.
- Data entry of all donations into Raiser’s Edge (fundraising database) in an accurate and timely manner.
- Preparation of daily bank deposits of cheques and weekly deposits of cash.
- Review and balancing of data entry batch and bank deposit to ensure accurate financial records are being kept.
- Creates and reviews all official income tax receipts produced by Raiser’s Edge.
- Assists with the gift processing for all provincially coordinated special events and year end processing.
- Assists with the training of temporary staff on processes and internal systems (Raiser’s Edge, Luminate).
- Assists with the supervision of temporary staff to ensure all donations and bank deposits are processed in an accurate and timely manner.
- Assists in the preparation, import and cleanup of the Luminate and Benevity import files for Raiser’s Edge.
- Enters all updates to donor information that are received in the mail, by phone, etc. (name changes, address changes, returned mail, deceased etc.)
- Completes all correspondence to donors concerning donations issues such as NSF, account closed, unsigned cheques, declined credit card donations, etc.
- Responsible for entering of updates to monthly donor information.
- Maintain Monthly PAC files in their secured location by filing updates and removing folders for terminated gifts.
- Assists with the preparation and transmission of Monthly Raiser’s Edge PACs.
- Monitors the BMO received files for Monthly banking rejects.
- Assists with adjustments to donor gift records for refunds, bank rejects and data entry corrections.
- Assists in the maintenance of the Raiser’s Edge database (ie: reviewing duplicate records)
- Assists in the processing of Accounts Payable Invoices and Pre-authorized Payments for Accounting department.
- Support postal coordinator duties in their absence.

**Do You Have What it Takes?**
- **6 months of experience in a similar role at a not-for-profit organization**
- Strong data entry ability and previous experience required.
- Strong database, financial software, and computer aptitude required.
- Experience working with Raiser’s Edge preferred.
- Experience with Microsoft Office suite of products, particularly Word and Excel.
- Excellent customer service experience.
- Strong interpersonal and communication skills.
- Organized, task oriented and focused attention to detail.
- Must have reliable transportation and valid driver’s license.
- Ability and flexibility to work in a team environment, under time pressure, on some weekends or evenings.
