What will you do?

Home and Community Care Support Services is looking for a dynamic individual to support the facilities operations of Home and Community Care Support Services North East (HCCSS NE) and North West (HCCSS NW). Reporting to the Director, Facilities, this position will maintain an efficient, service oriented department responsible for Facilities Management planning and operations within a multi-site environment. The Manager, Facilities provides leadership, direction and operational oversight to ensure the workplace is a safe and effective physical workspace for employees.

KEY ACCOUNTABILITIES:

- Directs Facilities Management operations ensuring regulatory compliance.
- Manages and implements the Strategic Space Planning Program.
- Manages facilities contracts including building leases and ensures ongoing contract management.
- Liaises with Infrastructure Ontario with respect to leases and large projects under Infrastructure Ontario’s mandate.
- Develops and implements Facilities Management strategies, policies and procedure; ensures appropriate controls, quality standards, preventative maintenance and risk management strategies are in place for all facilities related initiatives.
- Plans, prioritizes and implements projects and operational work plans; responsible for move management.
- Assesses and monitors facility repairs to ensure timeliness and cost effectiveness; coordinates and monitors status of work orders; establishes criteria for repair versus replacement.
- Responsible for business continuity components of Facilities management.
- Establishes and maintains relationships with leaders at all levels in order to define needs, develop and implement Facilities Administration plans, and resolve issues.
- Develops, fosters and manages effective business relationships and channels of communications with landlords/building owners, vendors, contractors and consultants in order to promote quality service and resolve issues.
- Establishes and maintains relationships with Facilities Management staff at other Home and Community Care Support Services to facilitate best practices.
- Provides ongoing leadership and direction to the Facilities Specialist role.
- Identifies budget requirements, prioritizes and allocates available resources; reviews and evaluates departmental services provided and makes recommendations for improvement to ensure maximum effectiveness and efficiency.
- Contributes to a safe and healthy environment by following safe work procedures, reporting injuries, illnesses, and unsafe working conditions.
- Performs other duties as assigned.

POSITION REQUIREMENTS:

- Post-secondary degree or diploma in a business related discipline or equivalent experience.
- Certified Facilities Manager designation an asset.
- Minimum 5 years progressive experience related to physical facilities/office management.
- Leadership experience an asset.
- Advanced knowledge of concepts, practices and procedures for facilities management.
- Knowledge and experience in contract administration, budgeting and financial processes, resource allocation, risk management and occupational health and safety.
- Highly developed planning, organizing, critical thinking and decision making skills.
- Effective communication, interpersonal and collaboration skills to act as a liaison, work effectively and build relationships with internal and external partners.
- Strong coaching, negotiation and conflict resolution skills.
- Ability to express oneself clearly and concisely when presenting ideas and concepts, preparing reports, articulating business needs and directing staff.
- Knowledge of project management practices an asset.
- Considerable hands on knowledge of MS Office including Outlook, Access, Excel, PowerPoint, and Word.
- A valid driver’s licence and access to a reliable vehicle.
- Advanced oral and written proficiency in English is essential, with proficiency in French considered an asset.
