We are looking for a talented and motivated individual to work with our team supporting both corporate and commercial transactions. **The Role**:Responsible for welcoming and attending to visitors; efficiently responding to various inquiries from clients and team members; maintaining supply levels, meeting rooms, and the staff lounge; assisting with various legal support tasks; delivering professional and friendly administrative support to everyone in the office.

**DUTIES AND RESPONSIBILITIES**
- **General Office**_
- Organize staff lounge and coffee station every morning and before closing
- Answer phones professionally and address or forward inquiries.
- Greet clients professionally and warmly, offer beverages as appropriate, seat in appropriate boardroom and announce their arrival.
- Keep reception area neat and well organized.
- Monitor, schedule and setup boardrooms appropriately for any and all meetings, which includes setting up video conferencing.
- Address building maintenance concerns and coordinate service visits and/or solutions.
- Open and distribute all mail.
- Prepare regular and registered mail at the end of the day to be sent out.
- Send and receive packages from FedEx, Purolator and local couriers.
- Order food & beverages for various office meetings/functions and maintain a stocked staff lounge.
- Order meals and prepare boardrooms before lunch meetings.
- Ensure personal printers are maintained and ink/toner is in supply.
- Ensure office seasonal décor is set up and taken down at appropriate times.
- **Administrative & Legal Support**_
- Create new client files and matters.
- Update Minute Book & Asset database for all Minute Books coming in and out of the office.
- Update addresses for clients as advised in Acumin and other programs.
- Keep all waybills, registered mail and receipts that need to be billed for disbursements, and save to digital files
- Record and post all disbursements in Acumin.
- Registering lawyers for various events as required and attend to various membership renewals.
- Draft and edit correspondence, documentation and presentations as required.
- Send various office communications as required.
- Maintain various mailboxes.
- Coordinate and assist in the planning of various office events (lunch and learns, staff functions, Staff Retreat, Christmas Party, etc.).
- Coordinate Annual Client Christmas gift mail outs.
- Other duties as assigned by the Office Manager.

**QUALIFICATIONS/ATTRIBUTES**
- Self-starter with an ability to work independently and possess a high attention to detail.
- Strong working knowledge of MS Office suite (Excel, Word, PowerPoint).
- Strong verbal and interpersonal communication skills.
- Ability to multi-task and meet strict deadlines in a rapidly changing environment.
- Proven willingness to work within a collaborative and creative team that is driven to excellence.
- Ability to anticipate problems and issues and address them ahead of time.
- Ability to prioritize workload.
- Maintaining a pleasant attitude while dealing with difficult situations.
- Strong problem-solving skills.
- Ability to adapt to evolving work processes and change management initiatives.
- Ability to communicate a variety of messages with understanding, social awareness, tact and resolve.
- Administrative and Law Office experience is an asset, but not required.
