Under the supervision and guidance of the Senior Conference Coordinator, the Junior Food & Conference Coordinator is responsible for providing on-site support for conferences & events; supporting the Senior Coordinator in pre
- and post-event planning by providing administrative support; is responsible for routine checks of conference spaces including storage rooms; oversight and communication of the incoming event week; and input for Conference Assistant tasks & scheduling.

Job Duties

Event Support 40%
- Provides administrative support to Senior Food and Conference Coordinator including but not limited to internal and external event preparation and organization of event files, schedules meetings with clients, takes notes & provides summaries, responds to basic event questions and inquiries, creates floor plans and signage for events and supports virtual event set up and management;
- Conducts regular rounds of Food and Conference facilities & storage areas, and reports any deficiencies;
- Communicates with student staff regarding concerns or suggestions and relays information to the Senior Coordinator & Manager for implementation and/or resolution Accommodations 20%
- Supports the Senior Food & Conference Coordinator and Manager for the promotion of accommodation options;
- Coordinates accommodation reservations for guests: inquiries, quotes, contracts, check in and out, and event statements;
- Conducts inspections of accommodation spaces, follows up on outstanding work orders and ensures completion in a timely manner

Booking Management 15%
- Oversees and manages the ‘Table Booking’ and ‘Fire Pit Booking’ calendars and supplies;
- Oversees and manages ‘Work Order’ setup requests including data entry, and follow up of outstanding work orders

Student Staff Scheduling 15%
- Oversees and supports student staff scheduling, assists with hiring and onboarding new student staff, supervises student staff and assigns tasks and duties as required; ensures tasks are completed on time & accurately;
- Ensures any potential overtime is discussed in advance and avoided when possible

Other Related Duties 10%
- Ad-hoc support for guests and clients;
- Suggests and implements ideas and programs for a positive guest experience;
- Provide project support as required (ie. creation of SOP’s, competitive analysis, training documents, regular report summaries for events, rooming list entry etc.
- Cold calling, sales kits, site inspections;
- Any other duty or project as assigned

**Qualifications**:

- Post-secondary education with experience in Hospitality, Hotel or Event
- Management experience with social media and advertising will be considered an asset.
- Computer proficiency
- Excellent communication, interpersonal, and customer service skills
- Possess the ability to make sound decisions and adapt to changes and situations
- As a condition of employment, the individual will be required to work flexible, irregular hours including some weekends, holidays and peak event times.
- Possess a valid full ‘G’ driver’s license.

**Job Types**: Part-time, Fixed term contract
Contract length: 12 months
