**Administration Officer**

Chippewas of the Thames First Nation is seeking a dynamic individual to fill the role of Administration Officer. Chippewas of the Thames First Nation is an Ojibwe Community of nearly 2500 members located along the Thames River and approximately 25 km southwest of London, Ontario

**POSTION**: Administration Officer

**REPORTS TO**: Executive Officer

**WORK HOURS**: Monday to Friday (8:30 to 4:30)

**SALARY**: To be Negotiated

**GENERAL DESCRIPTION**:
The Administration Officer is responsible for the overall efficient and effective administration of programs and services of the Chippewas of the Thames First Nation Administration. This includes but not limited to: ensuring programs and services are developed, delivered and evaluated and enhanced and managed in an effective and efficient manner that provides for a better quality of life for all members of Chippewas of the Thames First Nation. Direct responsibility for all operations and staff functions within the Administration.

A key responsibility is to provide a supporting and collaboration link between the Executive Officer, the Senior team, Managers and Staff. They will act as liaison between any other individuals, group or agencies operating within the community. They are directly responsible for all projects undertaken by the administration.

**Major Responsibilities & Performance Requirements**

1. Shall meet regularly with program managers/directors to maintain communication and ensure Council directives are shared and completed in a timely manner.

2. Facilitates Management team meetings to ensure an efficient communication network exists among all components within the organization, and to ensure a collaborative effort is made in the areas of operational, financial planning and resource development.

3. To supervise program/department managers/directors and other personnel and report directly to the Administration Officer.

4. Ensure that program and Executive Administration strategy, goals and objectives are implemented, achieved, and evaluated.

5. To coordinate performance management initiatives that will evaluate the overall effectiveness of COTTFN programs/services and staff functions.

6. Ensure Annual Performance Reviews for all Staff.

7. Communicates Human Resource appointments, employment opportunities, suspension, or dismissal of employees to the executive officer.

8. To coordinate joint activities between programs and departments which meet the operational objectives and direction of Council.

9. Directs and controls the day to day operations of Chippewas of the Thames Administration and community programs and services.

10. Responsible for ensuring day to day activities and transactions reflect sound business principles and practices and good business sense.

11. To promote and maintain good public relations with co-workers, other First Nations and as designated, with political organizations, the Federal, Provincial and Municipal Governments, the Chippewas of the Thames community, and the general public.

12. To develop an annual work plan based on the Comprehensive Community Plan (CCP) with Senior Management.

13. Ensure confidentiality of client, employee and community member information is maintained at all times.

14. Research, recommend, develop, implement, enforce, review, revise and operationalize policies and procedures as needed at least every 2 years.

15. Ensures that Infrastructure resources and systems of the First Nation, achieve the stability, efficiency, and effectiveness of the First Nation’s Capital, Operating and Maintenance resources, systems, and procedures.

- Ability to manage complex administrative issues related to Operations
- Well-developed leadership/managerial skills with an ability to provide leadership and motivate others Ability to organize time and work to achieve goals and objectives
- Sound decision making capability
- Ability to recognize the need for and ensure the development of policies and procedures. Must have a sound working knowledge of: policies and programs, Indigenous and Treaty Rights, and Indigenous Services Canada regulations and procedures
- Must have a good working knowledge of the community culture, customs, clan system and a thorough understanding of the issues facing the community and of the community’s present and future needs
- Familiarity with and experience in working with a CCP
- Excellent communication, diplomacy and interpersonal skills
- Computer proficiency
- Excellent Conflict and Alternative Dispute Resolution skills essential.
- Negotiation and mediation skills an asset.
- Proficient written and verbal communication skills including the ability to prepare reports, proposals, policies, and motions.
- Effective public relations and public speaking skills an asset.
- Understanding of and experience with Annual Performance Review.
