**Summer Internship - Board & Executive Admin Support**:
**Company Overview**:
Ontario One Call acts as the communications link between buried infrastructure owners (our members) and individuals who are planning to dig in the province of Ontario. In 2012, the Ontario Underground Infrastructure Notification System Act was passed, which stipulates that by law, anyone in the province of Ontario must contact Ontario One Call before they dig. In addition to our contact centre, we are also responsible for public education, industry outreach, and compliance.

As a service oriented regulator, Ontario One Call is focused on guiding construction, infrastructure and excavation industries towards creating efficiencies and improvements across the province. Ontario One Call is a not-for-profit governed by a Board of Directors representative of the underground infrastructure and excavation industries.

**Opportunity**:
**Board & Executive Admin Support**:
This position would offer basic administrative support to the leadership at Ontario One Call by providing assistance with scheduling meetings and pulling together/uploading documents for the meetings. They may generate reports and documents to support Board meetings as well. They may play a part in supporting other departments with increases in workflow and processing of documents as well.

Reporting to the Executive Team they may be privy to some high level confidential discussions.

**Primary Responsibilities**:

- Assist in the planning, coordination and preparation of meetings, conferences and events
- Coordinate activities of the sr. leadership and board:

- coordinate and attend meetings
- prepare and distribute agendas and meeting materials
- arrange meeting facilities and catering
- may be required to record and maintain minutes
- Ensure excellent communication and information sharing; coordinate schedules and calendars to ensure alignment among sr. leadership staff and Board of Directors
- May receive and direct phone calls
- Develop and maintain well organized document management system that permits easy reference and retrieval of information
- Submit invoices for payment, prepare cheque requisitions and expense reports for the sr. leadership and Board of Directors
- Other duties as assigned
- Some day travel may be required to attend meetings

**Qualifications**:

- Actively enrolled in a, or graduate from, post-secondary education in business administration, public policy or related program
- A willingness to learn more about the business
- Outstanding written and verbal communication skills, and interpersonal abilities
- Strong time management, ability to meet deadlines and adapt to a fast-paced environment
- This role requires a high level of professionalism, integrity and discretion
- Able to produce high quality and accurate work
- Knowledge of the Ontario Underground Infrastructure Notification System Act would be an asset
