Railcar Coordinator is a self-starter with strong organization, communication, interpersonal, accounting, and computer skills. Working in a fast-paced, customer and employee-oriented environment, the Railcar Coordinator is responsible for managing the transactions involved in the movement, storage and billing of railcars, in addition to the coordination and record keeping billing of Supplemental charges and Tariffs.
**Roles & Responsibilities**
- Establishes and maintains all files and records specific to the car movement, supplemental services and tariff charges
- Manage customer and employee enquiries in a courteous, expedient, and professional manner and acts as a resource person to employees for information regarding services provided by the Operations Team.
- Prepares general correspondence, general operating guidelines, policies, reports, tables, and publications as required by the Department including billing schedules and data required in the preparation of reports and correspondence
- Completes month end procedures, including month end estimates for operations with respect to Car Switch, Storage, revenues and expenses.
- Generate car management patterns for billing purposes. Input daily bills in support of the site and work with the customer to troubleshoot any billing issues
- Coordinate recertification training and submit certificates to Safety Centre.
- Coordinate and conducting onboarding sessions for all new hires
- Participate in onsite and offsite Customer meetings and engagements.
- Management of the site office and general administrative duties.
**Skills, Knowledge, & Abilities**
- Communicate effectively both verbally and in writing with people of all backgrounds and levels of comprehension including managers, employees, customers, customers regarding sensitive or confidential issues
- Demonstrate ability to work independently, be self-motivated, innovative, and able to be responsible in the decision-making process; ability to think pro-actively and strategically
- Demonstrated information gathering skills used to find and identify essential information
- Demonstrates initiative to independently plan, organize, and prioritize workload taking into consideration conflicting deadlines and multiple projects/tasks
- Skilled in the use of computer equipment, operating systems, word processing, spreadsheets and database software and knowledge of general accounting procedures
- Knowledge of the movement of cars and accounting procedures used in a rail environment
**Education & Experience**
- Post-secondary certification in office or business administration an asset
- 2 - 5 years experience working in either Oil & Gas, Rail Industries, or similar industry
- Experience working in both an operating and office environment focused on customer service, and basic accounting is an asset
- Experience within the rail industry with billing and car movements considered an asset
