**Position Overview**:
We are seeking an organized and detail-oriented **Facilities Coordinator** to join our Maintenance and Grounds team. This role is critical in ensuring the smooth operation of our facilities through effective management of billing, maintenance, fleet, inventory, and operational planning.

**Responsibilities**:
- Billing and Invoices: Work closely with the accounting team to match invoices with work orders and purchase orders, code invoices for review, handle a high volume of transactions weekly, and coordinate with accounting for invoice payment.
- Vendor Communications: Communicate with external vendors to obtain quotes, analyze pricing for best options, and coordinate service calls and purchases.
- CMMS Integration/Management: Implement and manage the Computerized Maintenance Management System (CMMS) to track, prioritize, and ensure timely completion of all facilities requests.
- Preventive Maintenance Planning: Schedule and follow up on preventive maintenance tasks to proactively address potential issues.
- Operations Management: Prepare and review reports for tracking and monitoring needs across departments.
- Facility Maintenance Requests: Utilize CMMS for effective implementation and management.
- Staff Scheduling: Prepare and manage weekly schedules, monitor overtime, and maintain budget compliance.
- Inventory and Procurement: Track supply/material inventories, maintain updated records of invoices, and conduct market research for vendor evaluation.
- Operations Maintenance Planning: Coordinate regular maintenance of critical systems such as HVAC, plumbing, electrical, and security.
- Payroll: Verify departmental hours for payroll processing and manage timesheets.
- Coordination and Follow-ups: Ensure timely logging and closing of work orders and coordinate site inspections, service shutdowns, and external activities like waste disposal and landscaping.
**Requirements**:
- Proven experience in facilities management or a similar role.
- Strong organizational and planning skills.
- Excellent communication and interpersonal abilities.
- Proficiency in managing CMMS and other maintenance systems.
- Knowledge of billing processes and inventory management.
- Ability to work under pressure and meet deadlines.
- Relevant certification or degree in facility management, engineering, or a related field is preferred.

**Responsabilités**:
- Facturation et factures : Travailler en étroite collaboration avec l'équipe comptable pour faire correspondre les factures avec les bons de travail et les bons de commande, coder les factures pour examen, gérer un volume élevé de transactions chaque semaine, et coordonner avec la comptabilité pour le paiement des factures.
- Communications avec les fournisseurs : Communiquer avec les fournisseurs externes pour obtenir des devis, analyser les prix pour les meilleures options, et coordonner les appels de service et les achats.
- Intégration/Gestion de la GMAO : Mettre en œuvre et gérer le système de gestion de la maintenance assistée par ordinateur (GMAO) pour suivre, prioriser, et assurer l'achèvement en temps voulu de toutes les demandes d'installations.
- Planification de la maintenance préventive : Programmer et suivre les tâches de maintenance préventive pour anticiper les problèmes potentiels.
