Job Summary

The Department of Electrical and Computer Engineering (ECE) is one of the largest academic units at the University of British Columbia Vancouver campus, with over 1,100 undergraduate and 400 graduate students enrolled in its degree programs. The department is also engaged in a range of research activities, with over 50 research-track faculty members actively involved in their respective scholarly communities.

The Stores Manager is responsible for managing the day-to-day operations of stores, shipping, and receiving in the Department of Electrical and Computer Engineering. In addition, the incumbent will actively engage in researching, documenting, and implementing improved workflow processes, with an end goal of increased operational efficiency.

Organizational Status

The Stores Manager is part of the department’s stores, shipping, and receiving team. The incumbent reports to the Manager, Business Operations, and trains and supervises a team of 2-3 CUPE 116 storekeepers.

Within the department, the Stores Manager frequently interacts with and supports ECE faculty, students, and staff. The incumbent must be able to communicate effectively with staff from other UBC departments, as well as with external vendors regarding purchases.

The Department of Electrical and Computer Engineering provides purchasing support for the Department of Mechanical Engineering at UBC. Thus, the incumbent must work collaboratively with Mechanical Engineering staff who are involved in purchasing.

Work Performed
- Manages stores, shipping, and receiving operations for a large and complex academic department, including inventory, purchasing, and shared equipment.
- Establishes, documents, and trains staff on workflow processes, with an end goal of increased operational efficiency.
- Manages the stores, shipping, and receiving team, including setting priorities and job duties, work schedules, and attendance reporting; hires and terminates staff; performs performance management reviews; works in partnership with the Manager, Business Operations, regarding any performance management concerns.
- Advises the Manager, Business Operations, on all aspects of stores, shipping, and receiving operations.
- Researches and implements best practices for inventory management.
- Manages procedures for use of ECE’s teaching and research equipment loan system and recommends changes as required.
- Oversees purchase orders and procurement of research and teaching equipment, including purchases requiring tender; manages supplier relations and liaises with UBC Procure to Pay on behalf of the department.
- Oversees the effective operation of stores reporting processes and ensures that data reporting is timely, accurate, and efficiently prepared by stores staff.
- Develops and implements systems for appropriate filing of financial transactions and purchases.
- Ensures all stores staff appropriately reconcile purchasing cards each month; reviews purchases regularly for policy compliance; ensures timely billing and reconciling of all end-user orders and stores purchases.
- Directs staff on the process of receiving orders, which includes checking shipping papers for accuracy and product damages, informing end users for orders received, and entering information into ECE’s ticket tracking system.
- Manages the ECE webstore for purchasing parts and equipment; researches expansion opportunities for the webstore and implements new ideas to improve upon current operations.
- Ensures adherence to safety training, chemical safety, and transportation of hazardous goods protocols and training; keeps current with best practices in procurement, materials management, and chemical safety.
