**Position Description**:
We are seeking a proactive and highly organized **Project & Office Coordinator **to provide professional support to our firm's Principal, Directors, and Project Manager. This individual will play a crucial role in coordinating ongoing public consultation projects and daily operations, ensuring smooth project execution and efficient office management.

**Responsibilities**:

- Principle scheduler, timekeeper, planner and coordinator to the Principal.
- Handling day-to-day administrative tasks, such as answering the office phone, coordinating weekly grocery and stationary orders and generally ensuring the office runs smoothly.
- Coordinating maintenance and repairs for office equipment. Overseeing the overall office layout and organization for optimal productivity.
- Managing appointments and meetings for the Principal as well as coordinating schedules and handling travel arrangements and itineraries.
- Overseeing the use and maintenance of office technology, including computers, printers, and software.
- Addressing issues and challenges that arise in the office environment. Finding efficient solutions to improve office operations.
- Use sound independent judgement and make decisions about competing priorities, including its impacts on calendar items and scheduling conflicts.
- Collaborate with Firm's Principal, Directors, and Project Managers on a variety of public consultation projects, assisting with research, planning, and coordination.
- Assist in preparing meeting agendas, materials, and briefing notes, and occasionally attend meetings to record minutes and disseminate key information to broader team.
- Assist with reviewing documents and reports and follow up with outside parties as required.
- Conduct research on community organizations, sponsorship opportunities, historical media coverage, and municipal development approvals to support project initiatives.
- Manage and maintain supporter databases, ensuring accurate and up-to-date records.
- Assist the team in organizing and executing supporter/stakeholder briefings, neighbourhood Open Houses, Public Hearings, and client events.
- Provide administrative support for the overall team, including coordinating team events and attending industry and community special events as required.

**Desired Skills & Experience**:

- Proven experience in a project coordination or office management capacity with increasing responsibilities.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Excellent problem-solving and critical thinking skills to manage competing priorities effectively.
- Strong verbal and written communication skills, including proficient proofreading and editing abilities.
- An upbeat, positive, and personable attitude with the ability to work well with diverse groups.
- Experience or interest in real estate development or urban planning is a major asset.
- Possession of a valid BC Driver's License.

Compensation is negotiable and will reflect experience and qualifications.

**Education**:

- Bachelor's Degree (preferred)
