The Payroll Supervisor supervises the payroll team, ensuring that all processes are executed appropriately and in a timely manner. Conducts work planning, estimation, and prioritization to optimize the performance of the team and works with Payroll Manager to define standards and reusable approaches for Payroll operations.
The payroll team operates on a hybrid model and comes into the office 3 times a week.
**Responsibilities**:
- Supervise Payroll staff and fill in for the manager as needed and prepare work schedules to ensure appropriate coverage.
- Manage payroll workload to meet operational requirements.
- Provides supervision of payroll assistants to ensure payroll is processed in a timely and accurate manner.
- Monitor the accurate processing of staff appointments, transfers, promotions, and terminations.
- Assist in payroll calculations, deductions, insurance coverage, wage garnishments and tax filings.
- Prepare and review payroll account reconciliations.
- Review and improve payroll policies and procedures.
- Oversee the maintenance of current employee data systems.
- Analyze payroll problems and provide appropriate resolutions.
- Ensure all payroll information and records are maintained in accordance with statutory requirements.
- Support all internal and external audits related to payroll.
- Interpret new legislation impacting payroll.
- Manage and resolve issues relating to payroll production.
- Provide guidance to and shares knowledge with team members relating to payroll production.
- Assist Payroll Manager to create annual team objectives.
- Escalate potential service issues to the Payroll Manager
- Train team members on new or enhanced operation procedures and policies.
- Identify process improvement initiatives and define standards for new processes.
- Cover for team members in back-up role for vacation and/or high-volume work efforts.
- Prepares working papers for the year-end external audit and annual report as required.
- Assist in the implementation of the new payroll platform.
- Able to maintain a positive attitude, professionalism, and composure during stressful situations.
- Other duties as assigned.
**Qualifications**:
- Bilingual in English & French
- Certified Payroll Professional designation preferred
- 5+ years of solid payroll experience in a leadership capacity for Canada, and UK and administrating payroll, benefits and leave of absence for US based employees in a mid to large company.
- Experience working with payroll system such as Ceridian Dayforce for Canada (bi-weekly pay frequency) and UK pay groups (monthly pay frequency) and ADP for US pay group (bi-weekly pay frequency)
- Intermediate to Advanced Excel skills
- Flexibility to adapt to a high-volume environment
- Knowledge of accounting principles and practices
- Knowledge of applicable local, state and federal rules and laws
- Ability to effectively supervise team members and work as a member of that team
- Attention to detail and accuracy
- Ability to motivate, develop and lead a team
- Highest level of confidentiality a must
