What to Expect
- The Workplace Operations team is responsible for maintaining non-manufacturing facilities and providing soft services to engineering, sales, service, energy, and general and administrative teams. The Associate Manager, Workplace will be the leader of day-to-day workplace site operations and provide strategic input on creating and maintaining an amazing workplace experience for the employees of Tesla.
What You’ll Do
- Directly manage the site-specific workplace operations team, day to day programs and operations, and ensure the facility is maintained to standards.
- Track all workplace requests and dispatch to the appropriate workplace member. It is the coordinators role to confirm all requests and seen through completion. Some tasks may involve all coordination, scheduling, and purchase order oversight.
- Execute Workplace requests that come through our ticketing system.
- Create and manage work orders through a 3rd party system. Ensure that vendors are following up and completing jobs in a timely manner.
- Ensure that Tesla safety protocols are being met and aligned with EHS.
- Strategically manage site space planning—move and new hire coordination, seating plans, department headcount verification, hotel desk management, lab space, and all new non-manufacturing space requests.
- Manage office and lab space moves, adds, and changes by collaborating closely with department managers, department move POC, IT Operations, Security, and external move vendors, to perform office employees moves interoffice and between sites.
- Project manage various workplace projects and events—define scope, develop logistics plans, identify budgets, create and maintain proper tracking procedures, coordinate vendors and internal stakeholders, communication plans, and follow through completion.
- Develop and maintain metrics to track projects, budgets, schedules, and key performance indicators.
- Manage and forecast the site-specific department operating and capital expenditure budgets
- Create Purchase Orders and manage ongoing contracts and relationships with vendors including invoice payments
- Oversee vendor on-boarding for all new vendors from setting up as a new vendor through safety orientation.
- In conjunction with the other Workplace team members, assist with process creation, implementation, and maintenance for programs and services workplace offers.
What You’ll Bring
- Bachelor’s Degree and 3+ years of Workplace, Facilities, Construction, and/or Interior Design/Space Planning experience.
- People management experience.
- Strong work ethic, proven follow-through skills—a leader yet a team player
- Ability to work in a fast-paced environment under constant changing priorities and demands.
- Ability to see the big picture, yet still be detail oriented.
- Ability to have the project mindset—what will it take to oversee this through project close out.
- A customer-centric attitude and enthusiasm to support workplace clients/other departments.
- Excellent listening, verbal, and written communication skills.
- Robust problem solving, resourceful, and creative skills with the ability to adapt to face paced environments under constant changing priorities.
