This term position is a one year maternity leave replacement from July 17, 2023 - July 12, 2024.

Job Summary

Under the supervision of the Bookstore Manager, this position performs a variety of sales and merchandising activities with the objective of providing Bookstore customers with a positive customer experience, as well as performing a variety of tasks including operating a point of sale terminal, shelving merchandise, and creating and maintaining displays. This position may also support the Bookstore Assistant in receiving and following up on course material orders.

Organizational Status

This position reports to the Bookstore Manager, Okanagan campus.

Work Performed

1. Provides excellent customer service to faculty, staff, students and the general public:

- Greets walk-in traffic and responds to customer questions and concerns in a calm, professional and timely manner.
- Assists with questions and sales regarding technology products.
- May work bookstore events such as author signings and convocation, on and off campus (one to two events per year).

2. Handles daily cash transactions including:

- Receives payment by cash, credit cards, and automatic debits, and makes change, processes refunds, exchanges, credits, and issues receipts.
- Processes rentals, special orders, sponsorships, and transfers.

3. Prepares merchandise for sale:

- Creates and maintains displays including moving fixtures to accommodate rush.
- Stocks shelves and organizes course materials according to author.
- Monitors confectionary inventory including expiry dates and may suggest stock to be filled by Bookstore buyers.
- Under direction of the receiver, records and verifies items received against invoices and notes discrepancies for the shipper/receiver to correct.
- Prepares items for sale including label price (when required), security tagging and processing special orders.
- Packs and ships materials, and returns any overstock to publishers.

4. Supports the course material department:

- Under direction of the Bookstore Assistant, checks pricing and availability of titles online or by contacting publishers.
- Assists in maintaining database and inputs new titles when required.
- Places buyer s orders with publishers as well as following up with delivery times.
- Maintains estimated time of arrival list for students and staff.
- Inputs special orders into in-house database program and requests transfers from UBC Vancouver Bookstore.
- Assists with purchase orders, pricing and shelving buyback titles.
- Assists with online store orders of textbooks, supplies and clothing.
- Maintains filing of course orders, purchase orders, special orders and custom materials.
- Handles incoming and outgoing mail, both inter-office and public.

5. Performs other related duties as required:

- Contributes to maintaining the appearance and orderliness of the store.
- Takes care of daytime custodial duties not performed by the maintenance staff (i.e. occasional dusting of displays and vacuuming if needed).
- Covers breaks as needed.
- Supports new or inexperienced employees during back to class periods, in August/September and January, by explaining work procedures (approximately 9 weeks per year, with 23 auxiliaries hired at approximately 25 hours per week).

Consequence of Error/Judgement

Provides Bookstore with excellent customer service at the Information Desk and in general.

Works within well-defined guidelines and procedures, but some initiative is required in adapting established methods and procedures to obtain the desired end result. This position will solve routine problems but unusual problems are referred to the Supervisor.

Responsible for using point of sale cash register and the Bookstore s operating database, while maintaining confidentiality and security, to protect information in accordance with UBC guidelines, including Payment Card Industry (PCI) guidelines to protect both private and financial (credit card, etc.) information of UBC students, staff and faculty.

Supervision Received

Reports to the Bookstore Manager. Receives detailed instructions from the Clerk V on daily tasks. May take direction from sales floor staff.

Supervision Given

On a day to day basis, this position does not supervise staff. This position may provide auxiliary s work sequences for staff at information desk during peak selling periods.

Minimum Qualifications

Completion of Grade 12. Minimum of six (6) months experience or equivalent combination of education and experience is required.

Excellent customer service skills and effective com
