PURPOSE OF POSITION

Accountable for the design, development and maintenance of department information resource files and manuals, conducting research and coordinating the development and publication of department information bulletins, newsletters and Website content for employees and internal stakeholders on licensing and registration legislation, policies, procedures, and processes of FSRA.

Note : This is a 12 Month Contract Position.

KEY RESPONSIBILITIES- Develops and maintains department resource information files, manuals and data base systems. Consults with department management and staff to identify resource needs for staff and clients, and researches, develops and implements resource information systems and processes.- Maintains computerized data bases of information about registrant companies/institutions.- Provides analytical support to management and staff by extracting, analyzing and preparing reports in response to internal information requests.- Provides input to the preparation of the annual report by extracting reporting data from data bases, checking for accuracy, and submitting to the staff member coordinating publication of the annual report.- Provides information research and analysis support to the manager and assists in the preparation of section reports and briefings. Undertakes special projects as assigned.- Monitors and analyzes data for the life licence qualifications program. Logs problems and necessary data system amendments and works with other areas of FSRA or approved data system projects as department liaison.- Coordinates assembly and preparation of information from department staff, and designs/develops newsletters and information bulletins for department stakeholder sectors on legislation and policies, and licensing/registration requirements, procedures, and processes. Coordinates the preparation of mass mailings.- Develops web content related to department services/processes and monitors the site to ensure integrity and accuracy of information.- Conducts research of information and preparation of responses related to requests under legislation governing freedom of information.

QUALIFICATIONS

Education and Experience- Diploma/degree in Records Management, Information Management or a related field.- 3 - 4 years of experience developing and maintaining electronic filing systems.

Knowledge and Skills- Knowledge of information management systems, procedures, practices, and processes to establish and maintain electronic filing systems.- General understanding of the legislation governing FSRA’s policies and licensing/registration processes and systems to prepare information bulletins and newsletters for use by internal/external clients, and to update website information.- Knowledge of the Freedom of Information and Protection of Privacy Act (FIPPA) to research and prepare responses for information inquiries.- Knowledge of business operations of client registrant companies to ensure that published information meets the business needs of stakeholder clients.- Research skills to conduct research assignments and projects.- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.- Ability to prioritize and handle multiple tasks in a fast-paced environment with attention to detail and accuracy.- Interpersonal skills and the ability to tactfully communicate with various levels, internally and externally, to request or provide information.- Ability to develop and maintain collaborative working relationships, while demonstrating a high level of cooperation and mutual respect.- Written and verbal communication to gather information from staff for the preparation of newsletters and information bulletins, and to prepare information bulletins, newsletters, and research summaries/reports.Job Posting End Date:
