**About the position**
We are seeking a **full**-time** Office Coordinator to work in our Vancouver office. The Office Coordinator is the first point of contact for all staff, visitors, customers, suppliers, and couriers coming to Aquatic Informatics. This key role will represent what we value as a company: positive thinking, enthusiasm, teamwork, a relentless pursuit of quality and simplicity, a playful spirit and a sense of humour. Interpersonal, communication and time management skills are vital to this role along with a thorough understanding of the company ethos and direction which should be applied to all operational decisions and functions. This position reports into the finance department with a strong dotted line to HR.
This position will be based 1 day in the office and will be mostly remote. Associates often meet in the Vancouver office for team building activities and face to face meetings and you will be expected to be in the office to help coordinate these in-office events.
In this role you will:
Office Coordination (25%)Serve as the first point of contact for staff, customers, vendors and visitors.
Coordinating the daily operations of our office, including but not exclusive to:
Liaising with building management
Office organization & improvement
Clerical duties include filing, copying, scanning, collecting and distributing mail
Manage relationships with office suppliers and vendors.
Order, maintain and restock office and kitchen supplies.
Arrange catering for company events and meetings.
Continuously look for new local suppliers to support where possible and help reduce our carbon footprint while being mindful of the budget.
Collaborating with the Shared services teams (HR, Finance & IT) on onboarding & offboarding processes
Maintaining and updating OHS and other administrative policies and processes.
Assisting with managing Site Security requirements e.g., security badges, COVID requirements etc.
Customer Collection (50%)
- Manage customer accounts receivable, including, tracking payments, and following up on overdue accounts.
- Communicate with customers professionally and tactfully to resolve payment issues. Calling customers, reconciling accounts receivable with customer support and
- Collaborate with sales and customer service teams to address customer inquiries and concerns regarding billing and payments.
Executive Support (25%)
- Provide administrative support to executives, including scheduling meetings and travel arrangements. Schedule and reserve conference rooms (Vancouver and Loveland, CO) and collaborate with Hach Executive Assistants as needed.
- Assist with special projects and other tasks as assigned by executives, demonstrating flexibility and a willingness to take on new challenges.
**Qualifications**
- High school diploma or equivalent required. Completion or enrollment in post secondary education preferred.
- Minimum of 2 years in a similar role
- Familiar with office and clerical procedures, and proven success with managing varied tasks across many departments and stakeholders in a collaborative team culture.
