**Job Purpose**

As our Property Manager, you will be responsible for leading the daily operations of a portfolio of rental buildings. The primary function of the Property Manager is to act as the administrative lead and responsible party for the operation of their portfolio.
This role requires the Property Manager to be the primary contact for tenants, the maintenance team, and our network of subcontractors.

**Job Duties and Tasks**

**Maintenance and Building Operations**
- Coordinate, prioritize and administratively organize maintenance requests and preventative maintenance programs across the portfolio of properties, issuing and processing work orders as required
- Possess basic knowledge and problem-solving acumen related to issues with a building’s mechanical systems (HVAC, plumbing, electrical) and weather protection systems (roof, eavestrough, grading/drainage, windows, waterproofing, etc.).
- Remain accountable for the successful monitoring, communication of progress and completion of maintenance activities
- Perform monthly managerial maintenance meetings to highlight major work, budget issues and escalate issues throughout the portfolio
- Run procurement processes from a variety of vendors for periodic capital improvement projects
- Execute project management for small, occasional capital improvements to properties with mínimal oversight.
- Collaborate with Accounting to process tenant chargebacks and other operating budget items
- Conduct in-unit, building and premise inspections to fulfill the goal of preventative maintenance programs and planned capital improvements to buildings.
- Organize and supervise multiple simultaneous service requests, prioritizing appropriately while considering the available resources.

**Tenant**
- Operate as the key point of contact between tenants and Owner’s. The Property Manager is the key contact that tenants will develop an ongoing relationship with. Therefore, a clear understanding of our operating principles and commitment to customer experience quality is imperative. The Property Manager’s role is to be fair, consistent in conduct, and provide the best possible service within the natural constraints of the business.
- Acknowledge, coordinate, problem solve and execute on administrative requests and questions presented by tenants.
- Invest in and build strong relationships with tenants in accordance with our goal to provide excellent customer service and utilize rapport with tenants to support our operational goals.
- Lead tenant onboarding calls (during office hours and after-hours as required by tenant availability)
- Prepare and manage legal documents (Notice forms, etc.) for LTB hearings, tenant notices, evictions or other tenant disputes
- Collaborate with accounting to solve accounts receivable and payments issues
- Organize and lead administration and communication related to seasonal activities (move
- in’s, leasing, the start of the school year, etc.)

**Clients**
- Respond to and fulfill the requests of clients. Requests may include financial reports, information requests on a building or unit, preparing building inspection reports, etc.

**Qualifications**

Education
- Completion of post-secondary education in real estate, property management, business administration, or another related program.

Licenses and Certifications
- Valid driver’s license with an acceptable driver’s abstract.

Experience
- 1+ years’ progressive experience in a related position.
- Experience supervising contractors, an asset; and
- Experience using Property Management Software (Buildium).

Knowledge
- Of a variety of building and home mechanical systems.
- Of property management including the financial aspects.
- Of all rules and regulations surrounding property management and tenant relations.
- Of MS Office and relevant databases and software.
