**Marketing & Events Coordinator**

This is a hybrid role, with remote and in-office work. The office is located at 243 Consumers Road North York, Ontario.

Our busy in-house marketing team is looking for a talented Marketing & Events Coordinator to drive key day-to-day activities of the department. As a key point of contact between the marketing team and the various internal stakeholders and business segments we serve, you are adept at in-taking new requests and are able to seamlessly and effectively traffic a variety of marketing and eventrelated tasks to completion. You will manage our in-house ticketing system and establish and track schedules to ensure deliverables are met, while working with external vendors (as required) for needs such as event material, promotional items, etc.

You are deadline-driven and know how to work effectively and collaboratively to troubleshoot and re-prioritize in order to deliver. You also understand the need for efficiency and thrive on being a well-organized multi-tasker with strong customer service skills that can easily navigate and succeed in a fast-paced environment.

**Responsibilities**

**Marketing Coordinator**
- Manages the Zendesk Marketing instance as well as the task management tool, including receiving new requests, gathering details and defining scope, assigning to team members, overseeing the delivery calendar, conducting QA, and gathering approvals prior to release of final materials
- In concert with Zendesk oversight, this role ensures requests are completed within timelines, works with stakeholders on ticket updates if scope increases and helps manages designer schedules
- Serves as the key point of contact between the marketing team and internal and external stakeholders, helping to maintain and nurture strong working relationships and maintaining excellent lines of communication on the progress of projects
- Leads weekly marketing services production meetings, including liaising closely with various members of our marketing team, including our Graphic Designers, facilities branding, content and social media leads, to assign prioritized tasks
- Maintains a focus on achievement of established marketing service level agreements
- Manages inboxes and actions patient inquiries and external requests
- Initiates ongoing discussions to streamline workflow, implement new efficiencies and more
- Works collaboratively with members of the team to maintain an asset management framework, including, file naming, file organization, revision management and archiving
- Manages and/or works closely with external vendors to produce promotional and event materials
- Plays a key role in maintaining our print-on-demand platform to ensure that key marketing documents are available, quick to find, use and order, and helping to support clinics with accessing portal
- Acts as a brand steward, always ensuring the materials we produce are on brand. Helps to educate internal stakeholders on brand guidelines and completes quality checks prior to any files being released to ensure they are to standard
- Provides support for other marketing initiatives, activities, and projects as assigned

**Events Coordinator**
- Creates, manages and updates a national events calendar
- Regularly communicates with key stakeholders on upcoming events, including our level of involvement, event objectives and key activities taking place on-site
- Works closely with HR, Corporate development and other business leads to develop event plans; and acts as the prime liaison to book events, determine booth and level of event participation (e.g. speaking, sponsorship, etc.), secure passes, manage event costs, etc.
- Coordinates the development of marketing assets for each event, including booth design, signage and collateral
- Maintains a promotional catalogue, suggests relevant options based on budget, and coordinates the timely purchase and shipment of promotional items
- Develops and manages work backs for each event to ensure all timelines and event commitments are met
- Works closely with other members of the marketing team to ensure pre-/at-/post-event promotion across key Lifemark channels and other external channels, as appropriate

**Key Qualities & Qualifications**
- A minimum of 3 years’ experience in a similar role; experience working within an in-house Marketing team considered an asset
- Post-Secondary degree in Marketing, Advertising, Business or related specialty is preferred
- Ambitious, self-starter attitude, with a hunger to learn, grow and challenge the status quo
- Excellent organizational skills, ability to multi-task with several priorities and thrive in a fast-paced team
- A strong customer service mentality and a desire to work closely with stakeholders to help them achieve their objective
- Focus on finding the most straightforward solution, with consideration to the options available
- Strong verbal and written communication skills and attention to detail
