- Reporting to the Executive Director, NIC Foundation, the Awards Officer implements, coordinates, and maintains the NIC Foundation Awards program in addition to fundraising projects/plans, special events and initiatives as necessary. The Awards Officer is the primary student contact for NIC Foundation awards and financial administrator for the Awards program and its associated donor funding. The Awards Officer provides a high level of data tracking, service and reporting throughout the program’s stewardship cycle, from donation acceptance and student recipient notification to student payment and donor recognition/reporting. This position also supports financial tracking and administrative support for gift acceptance, donation processing, and stewardship file management. The Awards Officer is an integral member of a small, collaborative team of non-profit professionals.**Position Competencies**

**Duties & Responsibilities**
- Implements, coordinates, and maintains the NIC Foundation annual Awards Program for all internal, donor-funded scholarships and bursaries.
- Initiates the development of an awards communication plan, with the support of the Marketing and Future Students team to increase public awareness of scholarship and bursary opportunities, including liaising with faculty/staff, students, and the public.
- Prepares selection strategy, timelines, and trains selection team members annually.
- Collaborates with the Development Officer to achieve a strategic disbursement rate for all scholarships and bursaries available. With Development Officer and Executive Director plans disbursement rate annually for NICF Board approval.
- Analyses students’ financial need and determines eligibility for funding.
- Administers and authorizes payments to student accounts in accordance with funding eligibility requirements. Interprets complex and varied donor criteria to ensure 100% accuracy.
- Monitors ongoing academic performance and program status of recipients.
- Participates in the planning and delivery of NICF events and promotional activities.
- Works with NIC Finance and initiates the development and implementation of procedures for an internal audit, control and reconciliation of annual funding, deferrals, and awards administration; Including monitoring and documentation of all awards-related financial transactions and statements.
- Conducts research, analyzes data and produces statistics for annual fund reporting.
- Keeps current with trends in NIC programming as well as best practices in financial aid and awards administration.
- Assists Development Officer with donor gift agreements, reporting, and data management.
- Assists in the coordination of donor correspondence and recognition initiatives.
- Monitors public-facing NIFC information including accuracy and currency of NICF website information.
- Maintains ongoing relationships with other post-secondary institutions, secondary schools, other agencies, and community groups, as needed.
- Performs other related duties/projects as required.
- Collaborates with other departments, including NIC Financial Aid, to extend financial support to NIC students.
- Advising NICF team on data integrity and management needs and best practices including the provision of training where needed.
- Supports operational and awards program decision-making through accurate and timely review of fund balances.
- Participates in policy revision and development.
- Oversees volunteer coordination if needed.
- Drafts operational and process change proposals as needed.
- Assists the Development Officers in researching, proofreading, and monitoring donor correspondence, and maintaining upkeep of all donor files, gift agreements, and legal documents.
- Assists in the preparation and monitoring of donor agreements, grant proposals, budgets, project reports, and adheres to all college-wide guidelines and policies, and external funding guidelines.
- Assists in the development and maintenance of operating procedures and protocols for the Department.
