Reporting to the Director, Home & Community Care Program Delivery the Manager, Patient Services position is responsible for supporting Patient Services by managing the Team Assistants, Manager Assistants, Switchboard Operators and Receptionists to ensure the administrative, data management and logístical functions of HCCSS care coordination are maintained.

**What will you do**:
1. Support the Mission, Vision, Values and Code of Conduct of the organization.
2. Manages a team of Team Assistants to deliver quality patient care within a specific geographic and program area.
3. Monitors and manages the workload of direct reports.
4. Approve/Deny all leave requests for direct reports (e.g. vacation, education leaves, etc.).
5. Inform the HRIS Specialists of relief staffing needs.
6. Responsible for approval for overtime and planned absences.
7. Responsible for the recruitment, hiring, orientation, mentoring and performance management of Team Assistants.
8. Evaluates the performance of Team Assistants based on specific performance objectives and to ensure work quality and consistency. Provides feedback regarding job performance to the Director, Home & Community Care Program Delivery.
9. Extrapolates reports from Quadrant to monitor absenteeism.
10. Responsible to ensure that Team Assistants maintain Outlook calendars on a daily basis and indicate staff members that are absent and which Team Assistant will be covering the empty desks.
11. Responsible to complete the Operations Report on a monthly basis, which records staff activities, workload, and the frequency of casual Team Assistants covering full time desks. In addition summarizes challenges, trends, union interaction, etc.
12. Chairs Team meetings approximately every two months. Assigns minute taker.
13. Assists in the establishment and ensure compliance of organizational short term and long term goals with overall corporate objectives.
14. Improves the operational systems, processes and policies in support of the organization’s mission, specifically support better management reporting, information flow and management business process and organizational planning.
15. Play a significant role in long term planning, including an initiative geared toward operational excellence.
16. Attend regular meetings with the management team.
17. Engages and leads staff in change management initiatives.
18. Assists the Director, Home & Community Care Program Delivery with developing policies and procedures for Patient Services.
19. Assists the Director, Home & Community Care Program Delivery as required.
20. Provides education training for new initiatives.
21. Review and follow up in our Risk Event Management System.
22. First point of contact for step one grievances.
23. Participates in chart audits.
24. Other duties as assigned.
What must you have?
- Degree in Business / Health Care / Public Administration or a combination of experience and education.
- 3 to 5 years’ of management and leadership experience in a health care environment with specific demonstrated experience in a Team Assistant role.
- Significant experience in diverse and unionized community health care environments.
- Strong knowledge of HCCSS priorities, policies, practices and service standards.
- Strong knowledge of computer systems used in HCCSS such as CHRIS, DMS, e-Referral.
- Strong knowledge of the collective agreement provisions.
- Good understanding of Human Rights and Privacy legislation.
- Familiarity of Employment Standards Act and the Occupational Health and Safety Act.
- Working knowledge of Microsoft Office programs with the ability to produce reports.
- Strong analytical skills.
- Demonstrates creativity and problem solving skills.

What would give you the edge?
- Familiarity with medical terminology, and office administrative procedures/concepts
- Knowledge of services provided by Home and Community Care Support Services
- Ability to speak French or another second language

Hours of Work
Position Location and Travel
The position may involve travel throughout the Central East geographic region. A valid Ontario driver's license and access to a reliable vehicle are required.
