**Position Summary**

In a role that equally emphasizes project management and project portfolio management, the Project Facilitator oversee the implementation of individual projects, ensuring successful delivery through adept decision-making regarding scope, schedule, and resources. Concurrently, they will play a crucial role in supporting the triage and optimization of the project portfolio.

In the project management capacity, the Project Facilitator's responsibility is to efficiently deliver projects, while in the project portfolio management aspect, they will prioritize incoming requests, evaluate resource allocation and risk mitigation strategies, and offer insights and recommendations to ensure that the overall project portfolio aligns seamlessly with organizational goals, thereby maximizing value. This dual role is designed to integrate the tactical execution of projects with strategic analysis, contributing to the organization's broader business objectives.

**Your Key Responsibilities**

Project portfolio planning and coordination support
- Analyze and evaluate current project portfolio to understand overall status
- Identify and advise on opportunities to optimize the portfolio
- Maintain comprehensive database capturing key metrics for each project
- Generate regular reporting on the status of the project portfolio
- Identify potential risks, issues or compliance challenges within the portfolio
- Assist preparation of financial reports and forecasts for entire project portfolio
- Regularly review and assess the health of the project portfolio
- Support adjustments to the portfolio strategy based on changing organizational priorities and external factors

Change initiative intake management
- Support evaluation of benefits and impact of incoming requests
- Assess short and long-term implications of incoming requests
- Examine alignment with strategic objectives and priorities of incoming requests
- Triage and coordinate incoming requests to most appropriate workflow/pipeline
- Communicate and collaborate with stakeholders on triage results

Resource management support
- Analyze availability of resources, including skill sets and flexibility
- Consider constraints or limitations which might affect project execution
- Generate potential alternative resource plans according to portfolio roadmap
- Coordinate assignments and allocations in collaboration with key stakeholders
- Communicate resource adjustments, risks or issues with appropriate parties
- Maintain resource tracking and reporting
- Work with PM's to address resource constraints and optimize utilization
- Monitor and manage resource allocation across different projects

Project Management
- Develop and maintain project plans, ensuring alignment with project goals
- Coordinate project activities, monitor progress, and report to sponsorship.
- Create realistic schedules that consider objectives and constraints
- Motivate and inspire team members, fostering a collaborative environment
- Identify potential risks and uncertainties that may impact project success
- Assess, monitor, and mitigate risks throughout the project lifecycle
- Establish effective communication channels within the project team
- Manage stakeholder expectations and address concerns in a timely manner

Continuous improvement of project/portfolio methodology and tools.
- Evaluate existing processes and identify opportunities for best practices
- Promote a culture of continuous improvement within the team/organization
- Explore and recommend new tools to enhance portfolio management
- Identify opportunities for efficiency gains and recommend improvements.
- Implement and leverage tools and technology for better portfolio, project and service offering visibility and control

Stakeholder communications
- Facilitate communication between PM's, team members, and stakeholders
- Engage stakeholders to understand expectations and gather feedback
- Work with stakeholders and team members to address risks and concerns
- Develop communications plans and strategies
- Address and respond to queries relating to projects, portfolio, and triage
- Assist the development and delivery of related meetings and presentations

**Your Education and Experience**
- A technical or community college certificate or diploma in business or a related field.
- A certified Project Management Professional (PMP) is an asset.
- A minimum of five to ten years of related experience.

A combination of education and experience may be considered.

**Your Abilities**
- 5+ years' experience running waterfall and/or agile projects
- Strong understanding of governance, methodology and process development
- Experience working with prioritized portfolios and roadmap development
- Excellent and concise communication skills both verbal and written
