Stoney Creek, Canada Top Lift Enterprises Inc. Full time

Sales Coordinator:

- Maintain company website and inventory through the Sandhills cloud portal, including updates to inventory.
- Update weekly Market Book ad through Sandhills cloud, with new, on order or inventory/stock.
- Ad creation/submission for multiple digital and print magazines.
- Submit co-op claims to the appropriate suppliers.
- Using dealer portals to properly build, price, and quote new or on order machines. This will use various discount structures.
- Using IntelliDealer to quote units and attachments, etc., and submitting for approval to General Manager. Then sending quotes to the appropriate salesperson.
- Setting up exhibitor shows and attending when needed.
- Customer relations with potential clients, current and past, suppliers, transport companies, etc.
- Assisting the General Manager with various ad hoc tasks.
- Pricing, quoting, purchasing, shipping, receiving, tracking, and servicing all units.

Ordering Equipment and Attachments for all Branches:

- Create Purchase Orders for **all **equipment, attachments, and transportation once CEPAR has been approved by management.
- Keep track of delivery status for all equipment on order.
- Coordinate equipment transportation when required.
- Coordinate equipment orders with Customs Broker.
- Receive and track every equipment and attachment invoice in IntelliDealer system.
- Create and invoice for payment and keep track of Receivables.
- Receive every invoice into IntelliDealer Accounts Payable system according to the financial status (Floor Plan, Financed or Cash).
- Scan and input all equipment invoices into IntelliDealer as PDF files.
- Maintain updated records and computerized monitoring of equipment and attachments, and inform management on equipment, attachments and accessories as required.

Shipping and Logistics:

- Organize and track shipping and machines, entering the country.
- Prepare machine Purchase Orders.

Warranty and Extended Warranty Registrations:

- Responsible for registering the warranty on every sold piece of equipment or attachment. (Dorf-out LBX, not LiuGong)
- Note: Each manufacturer has their own online system for warranty registration; each one is very different from each other. It is a time-consuming process. (Catherine does LiuGong warranty registration)
- Keep electronic track of "standard warranty" status of equipment and attachments. (Word doc, updated as needed)
- Purchase Extended Warranty Policies for Equipment
- Create Purchase Orders and submit in each manufacturer's online system.
- Receive and post every extended warranty invoice in PFW system.
- Update the information in the Equipment Data File in PFW to keep costs current.
- Process invoices for payment.
- Keep electronic record of extended warranty statuses for all equipment and attachments.

Rental Contracts and Rental Invoicing:

- Generate equipment rental contracts, and process contracts provided by the sales department for all rental equipment and attachments
- Prepare and complete all rental invoices on a continuous basis as per each contract
- Monitor all rental contracts.
- Closing of all rental contracts when the term expires, with manager’s approval.
- Process the return of rental equipment and attachments.

Equipment Inventory:

- Updates of the equipment and attachment statuses in CDK and other.
- Keep inventory up to date of Floor Planned equipment and attachments for regular monthly audits.
- Assist the auditors from each financial institution on a regular monthly basis to qualify the floor planned equipment.
- Establish procedures and protocols to keep track of equipment and attachment movement through traffic tickets for the control of stock transfers, demos, sales rentals etc.
- Keep electronic record of extended warranty statuses for all equipment and attachments.

Additional Sales Duties:

- Establish and keep track of Government bids online for submission to the manufacturers in collaboration with Branch/Sales Managers.
- Regular monitoring of websites used for tenders and bids for equipment sales.

Special Projects:

- Carry out special projects for management as requested.
- Update every equipment file in IntelliDealer with pertinent information from all machines.
- Environment Canada investigation(s).
- Obtaining, logging, and submitting all engine models and serial numbers for all new and used equipment that has been purchased and/or sold since 2012, as per government mandates.
