About the Faculty of Social Sciences
The FSS comprises nine departments, schools and institutes, which offer undergraduate, masters and doctoral programs in both English and French. With its 10,000 students, 260 full-time professors, and wide array of programs and research centres, the Faculty of Social Sciences plays a key role at the heart of the University of Ottawa. Its graduate students are supervised by excellent researchers and undertake cutting-edge research in the Faculty's masters and Ph.D. programs. Along with its complement of about 100 administrative employees, the faculty is proud to provide a collaborative working environment that inspires new ideas, encourages creative ingenuity, and promotes excellence.
**Position purpose**:
Ensure coordination of the day-to-day activities of the assigned Research Chairs, including event coordination, marketing and communications coordination, and operations administration. Plan and implement key communications and support activities in support of the Chairs' research, outreach, training and development programs. Establish a strong contact management system and proactively engage target audiences through a variety of communications and outreach tools to implement the Chairs' project communications plans to project a positive image, promote the Chairs and increase their visibility within the Faculty of Social Sciences, the University of Ottawa and outside the University.
**In this role, your responsibilities will include**:
**1. Operations**: Responsible for the day-to-day operations of the Chairs, including planning and budget management, and administration. Identifies procedural and methodological needs to provide operational clarity, efficiency and management of activities and risks. Coordinates, conducts, supervises and plans activities that involve administrative and budgeting functions with designated staff in the Office of the Associate Dean for Research.
**2. Event Management**: Leads all aspects of the planning and execution of small and medium-sized events, as well as other special events to project a positive image of the Chairs, the Faculty and the University. To this end, works with staff and Chairs to identify key activities, elements and timelines, ensures smooth planning and execution of event logistics, and monitors and reports on progress. Establish event budgets and ensure that all activities are within budget.
**3. Communications**: Develop and implement an annual communications plan that addresses the Chairs' communications needs for various internal and external target audiences. This includes writing content for annual reports, newsletters, brochures, speeches, websites, social media and press releases, and coordinating and proofreading their translation. Analyzes needs and conducts cost-benefit analyses of proposed communications plans to support Chair activities and to ensure that related activities conform to budgetary constraints.
**4. Marketing**: Develop and implement marketing strategies for the Chairs in accordance with University and Faculty standards. To this end, develop marketing materials and collaborate with graphic designers, photography and printing resources during production to promote the Chairs, while ensuring compliance with graphic standards. Analyzes needs and conducts cost-benefit analyses of proposed marketing plans to support the Chairs' activities and to ensure that related activities are within budgetary constraints.
