Job Overview:
We are seeking a motivated and friendly Veterinary Office Assistant/Receptionist to join our team. As the first point of contact for our clients, you will play a crucial role in providing exceptional customer service and ensuring a smooth and positive experience for both pets and their owners. This position offers a unique opportunity to be an integral part of our clinic's daily operations and contribute to the overall well-being of the animals we care for.
**Responsibilities**:
Front Desk Operations: Greet clients with a warm and friendly demeanor, both in person and over the phone. Schedule appointments, manage client information, and update electronic medical records accurately.
Client Communication:
Effectively communicate with pet owners regarding appointments, treatment plans, and general inquiries. Provide clear and accurate information to address their concerns and needs.
Patient Care Support:
Assist veterinary staff with handling and comforting animals during check-ins and appointments. Maintain a calm and reassuring atmosphere for pets in the waiting area.
Administrative Duties:
Handle daily administrative tasks, including filing, data entry, billing, and processing payments.
Inventory Management:
Monitor and maintain inventory of office supplies, pet products, and medications. Coordinate orders as needed.
Hospital Cleanliness:
Help maintain the cleanliness and organization of the reception area, exam rooms, and common areas to ensure a welcoming and hygienic environment.
Compliance:
Adhere to clinic policies and protocols to maintain a high standard of patient care and client service.
Qualifications:
- High school diploma or equivalent.
- Prior experience in a veterinary clinic or animal-related environment is a plus.
- Exceptional customer service and communication skills.
- Compassionate and caring attitude towards pets and their owners.
- Strong organizational and multitasking abilities.
- Proficiency in using computers and basic software (e.g., MS Office, electronic medical record systems).
- Ability to handle sensitive and emotional situations with professionalism and empathy.
- Willingness to learn and adapt in a fast-paced veterinary setting.
Work Schedule: This is a full-time/part-time position, with up to 40 of hours per week. Flexibility to work weekends and holidays may be required.
