**Reports to: Executive Director and Communications and Marketing Director**

Centretown is seeking a dynamic and highly organized _**Promotions**_ _**and Operations Coordinator **_to join our team. As a vital member of our organization, you will play a key role in supporting the Communications and Marketing Director and contributing to the success of our mission to improve the community. This multifaceted position involves a wide range of responsibilities, including but not limited to:

- **Responsibilities: Promotions**_
- **Promotional Activities**:

- Develop and implement marketing campaigns and promotional initiatives to enhance the visibility of local businesses and community events.
- **Event Coordination**:

- Plan and manage community events, ensuring successful execution and positive engagement with participants.
- **Community Engagement**:

- Build and maintain relationships with local businesses, organizations and community members to promote collaboration and participation in BIA initiatives.
- **Content Creation**:

- Assist in the development of marketing materials and communications, including newsletters and social media content, to effectively share information and updates. As well as assist in promoting events and initiatives through social media channels.
- **Data Management and Reporting**:

- Track and analyze the effectiveness of promotional efforts, providing insights and recommendations for improvement.
- **Administrative Support**:

- Provide general administrative assistance to Communications and Marketing Director and maintain organized records related to promotional activities.
- **Responsibilities: Operations**_
- **Internal Office Systems & Processes**:

- Implement and maintain efficient internal office systems to enhance workflow and organization within the organization.
- Continuously improve and document internal processes to streamline operations and increase productivity.
- **Meetings**:

- Attend all organizational meetings, schedule meetings as needed, and diligently record meeting minutes to ensure clear communication and accountability.
- Take notes in all meetings, including to but not limited to Board Meeting Minutes
- Support monthly board meetings and preparation of all documents
- **Support with Reports & Presentations**:

- Collaborate with the Executive Director in preparing reports and presentations, ensuring accuracy and professionalism.
- **Project Management & Tools**:

- Manage projects, tasks, and data in team drive and other project management tools, ensuring accurate and up-to-date information.
- Analyze Environics data to derive insights and inform decision-making.
- Updating and adding to the CRM system and member databases
- **Grant Writing**:

- Collaborate with the team to prepare grant proposals, ensuring they align with the organization's goals and objectives.
- **General Administrative Tasks**:

- **Qualifications**:_
- Proven experience in administrative roles with excellent organizational skills.
- Previous experience in marketing, event coordination, or community outreach.
- Proficient in social media platforms and basic graphic design tools.
- Strong communication and interpersonal abilities.
- Detail-oriented with a commitment to accuracy and thoroughness.
- Passion for community engagement and local business promotion.
- Ability to work independently and proactively anticipate the needs of the Communications and Marketing Director and Executive Director.
- Proficiency in MS Office suite, Canva, and project management tools.
- Experience with contract management and finance-related tasks is a plus.
- Knowledge of public realm matters, and community engagement is an asset.
- Grant writing experience is highly desirable.
