The Intake Worker is a person who is deeply empathetic, patient, client-centered and actively listens. They exercise sound judgement, communicate effectively, possess a strong ability to think outside of the box and problem solve. The Intake Worker respects confidentiality related to all client matters.

The intake worker is the first point of contact for all new client inquiries into the clinic. The intake worker will connect with the potential clients to schedule a phone call to begin the intake process.

The Intake Worker gathers information during the intake process and best matches the client to a counselling therapist based on client needs and therapist expertise and experience.

The Intake Worker has strong verbal and written communication skills. They have strong organization and prioritization skills.

The Intake Worker creates and sometimes updates client records in the clinic’s electronic health management system OWL, gathers and updates billing information, books appointments, sends correspondence to clients and therapists.

The Intake Coordinator maintains and manages the clinic’s waitlist and referral network and may be responsible for other administrative duties as they arise.

The Intake Worker reports to Administrative Coordinator

**Responsibilities**

Responsible for establishing a professional and supportive ‘first contact’ for clients wishing to access services.

Conduct intake assessment, maintaining strict confidentiality.

Work collaboratively with network of referral sources.

Perform client service registration, data input into OWL regarding registration particulars, collecting billing information. To communicate effectively in non-session notes and with the therapists regarding the registration of the client.

Schedule appointments into the appropriate Counselling Therapist calendars.

Facilitate appropriate internal/external referrals to services required by clients.

Actively participate in regular team meetings.

Seek out supervision and debriefing when required.

Other related administrative duties as assigned.
