**Hours**:

- This is a casual on-call position filling in for vacation and other LOA’S - zero to 12 hours per week
- Normal shift will be Monday to Friday.
- This position requires availability for working days, evenings, weekends and overtime as required.

**Reporting To**:

- Community Ministries Director/Officer or Divisional Headquarters in his/her absence.

**KEY RESPONSIBILITIES**:

- Performs general office duties such as answer and screen telephone calls, directing enquires and answering inquires.
- Performs various secretarial duties for payroll, accounts payable, accounts receivable with our regional accounting center. Issues temporary and official receipts for donations. Handles and reconciles petty cash and other related duties (e.g. bank deposits, government remittance and rebate forms)
- Assist with Red Shield campaign as requested. Helping recruit volunteers and prepare summary reports.
- Drafts and types correspondences or generates reports (e.g. letters dealing with administrative issues, dictation acknowledgements)
- Maintains an accurate, ongoing record of all donations to the Centre.
- Handles and ensures the protection of extremely confidential and sensitive employee/Officer, client and or program files.
- Opens and distributes incoming mail and processes out-going mail.
- May order all stationery supplies, maintains adequate office supplies and other supplies as needed.
- Keep an up-to-date record of employees sick and vacation time; calculating vacation entitlement and scheduling.
- May recruit, coordinate and assign work of Volunteers.
- Other duties as required.

**QUALIFICATIONS AND EDUCATION REQUIREMENTS**:

- Community College diploma/degree (an alternate level of education or experience may be acceptable).
- Proficient in computer use using Microsoft Office (Word, Excel, Publisher) and internet.
- Proven ability to proficiently perform accounting duties including but not limited to payroll and benefits; accounts payable/receivable; issue official receipts for income tax purposes; handle and reconcile petty cash and other banking duties as required.
- Demonstration of strong interpersonal skills as well as excellent written and oral communication skills.
- Must be able to speak and understand English competently.
- Must demonstrate ability to maintain professional and courteous relations with clients, donors, staff and volunteers.
- Must be able to provide positive and professional public service relations to both service recipients and providers.
- Must demonstrate a positive attitude towards the less fortunate and clients with substance abuse problems.
- Must agree to abide by and promote the principles, philosophies, ideals and mission of the Salvation Army.
- Background check consent
- A clear vulnerable sector screening from local RCMP/Police
- A clean drivers abstract
- Completion of our online Armatus Abuse Training and required Health and Safety training
