Position Purpose:
Overall duty of this position is to provide day-to-day administrative and project support for both internal and external clients within the Non-Destructive Testing operations. The Administrative Assistant assists with a variety of standard office procedures including timekeeping and data entry.

Duties and Responsibilities:

- Prepares and organizes client files.
- Supports collection of weekly site timesheets and preparation of weekly site data (Miterfinch/Fobbing) entry and exception reports for payroll purposes.
- Assists with setup of site personnel flights and fleet management.
- Assists with onboarding activities.
- Requests safety training for Technicians.
- Collects and audits weekly expense reports.
- Coordinates travel and accommodation bookings for Technicians.
- Updates and maintains various documentation as it relates to office or individual projects.
- Coordinates all mail and deliveries/shipments including arranging couriers when required.
- Maintains office supply inventory and orders supplies in a cost-effective manner.
- Assists with the distribution of company supplies to project sites and Technicians.
- Provides back-up support for the Operations team.
- Adheres to organizational policies and procedures, including but not limited to Applus Code of Ethics and Confidentiality Agreements.
- Other duties may be assigned as deemed necessary.

Education and Work Experience:

- Post-secondary education in Office Administration from an accredited College.
- 2-3 years’ experience in office administration.
- Equivalent experience combined with other formal training and accreditations may be accepted.
- Requires a valid Nuclear Security Clearance or an ability to obtain security clearance, within the first three months of employment.

Working Conditions:

- The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes.
- The work is primarily sedentary.
- The noise level in the work environment is usually quiet to moderate.
- Work outside of normal business hours will be occasionally required.
- Overtime required during the week and weekend with work volume.
- Ability to be flexible with work schedules and respond to requests without advance warning or notification.
- Occasional to frequent travel will be required within Canada.
