**PURPOSE OF THE POSITION**

The Receptionist will be the first point of contact for our organization. The receptionist will be responsible for offering administrative support across the organization. The receptionist will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

**SCOPE**

The Receptionist will work under the authority and the supervision of Manager, and is responsible for welcoming guests positively, and executes all administrative tasks to the highest quality standards.

**RESPONSIBILITIES**
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock
- Accept and monitor inbound shipments as necessary.
- Update calendars and schedule meetings
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Other related duties as assigned, from time to time.

**EDUCATION AND EXPERIENCE**
- College Diploma; additional certification in Office Management is a plus;
- Proven work experience as a Receptionist, Front Office Representative or similar role;
- Experience withNGOs, organizations, interest groups and government or government agencies or business/corporate entities;
**KNOWLEDGE, SKILLS AND ABILITIES**

**Knowledge**

The employee must have proficient knowledge in the following areas:

- Some knowledge and understanding of Indigenous Peoples in Canada and internationally, their cultures, histories and traditions;
- Knowledge and understanding of contemporary concerns and issues in the doing of Indigenous business in Canada;
- Understanding and knowledge of Indigenous issues, and norms and standards relevant to promotion and protection of Indigenous women’s rights;
- Some knowledge of key issues impacting Indigenous women and girls in Canada and internationally.
- Bilingualism is mandatory;
- Must have 5 years' experience as a receptionist.

**Skills**

The employee must demonstrate the following skills:

- Ability to communicate effectively and collaboratively with internal and external stakeholders.
- Ability to think critically and act logically to evaluate situations, solve problems and make decisions.
- Ability to take directions and work independently.
- Excellent interpersonal skills;
- Ability to prioritize, multi-task and organize work effectively and under pressure.
