To be available to the Event Convenor as much as possible, as a representative of the Host Club, and to provide exceptional customer service. To ensure that all details of the Corporate Event are executed
smoothly and professionally. Direct reports to the Regional Sales Manager.
**Duties & Responsibilities**:
1. Event Set-Up
Reach out to returning events and contact NEW BUSINESS throughout the year (including off-season).
Fact sheet and/or budget proposal may accompany contract if it is a returning/new event to (CGG).
Ensure to reach out to the customer at least two months in advance of the event date.
Request a meeting at the Club with the customer to discuss event details along with F&B Manager.
Document all items during the meeting to be used to organize event day. Copy the Regional Sales Manager
when sending to the client.
Provide suggestions to the customer to improve their event if requested.
Solicit corporate event sales in advance of the event (Shirts, Balls, Hats, Scoring, Clinics, and other related
services, etc.).
Provide the customers with any sample products as requested.
2. Communication and Tee Sheet Management
Update Event Calendar, and communicate in advance of the event with all Department Heads at the Club
to ensure they are aware of all event details.
Contact the customer eight (8) business days in advance of event to confirm final numbers (Guarantee
numbers Form) for both Golf, and Food & Beverage. Update any information that may have changed since
the last meeting.
Remind the convenor that a foursome list is required two days in advance of the event.
Maximize revenue by updating Tee Sheet immediately in accordance with the confirmed final numbers.
3. Event Execution
Receive foursome list two days in advance of event and oversee preparation of event materials (scorecards,
cart cards, corporate merchandise, etc.)
Review staff schedule to ensure that the event is staffed appropriately.
Arrive at the Club well in advance of the shotgun time to coordinate set-up.
Ensure that all details discussed with the customer are being set up. When the customer arrives welcome
them to the Club, reassure them that everything that had discussed in the meeting is being looked after.
Continually check in with the customer through the day to make sure details are attended to.
4. Event Wrap-up
Provide the customer with the necessary information for scoring, and prize presentation.
Make arrangements to have all banners, on course signage, Hole-In-One car sponsor, tables & chairs,
tents, and other items taken off the course immediately following the completion of play. Work with the
customer to make sure items are taken off property or picked up the following day.
Indicate to the customer that you have finished all the details for the day and will be leaving.
Thank them for a great day and indicate you look forward to seeing them next year.
Charge the event on the event day. And send the FINAL BILLING (including F&B) to the accounting department no later than 10am the following day. (Send accurate accounting information to the accounting department, and ensuring that the number of golfers entered on the billing form is the actual number of
players that actually showed up and played. The guaranteed number of players is what the event guaranteed. The actual number of players MUST match what was on the tee sheet or the rounds report).
**QUALIFICATIONS**:
- A high degree of organizational skills is required
- General knowledge of Event Management
- General knowledge of Sales & Marketing
- Attention to detail
- Effective communication in both oral and written skills
- Proficient computer skills
- Ability to lead and motivate
- Reliability and responsibility with the ability to work autonomously - General good demeanor and ability to deal with customers
**WORKING CONDITIONS**:
- Work hours will depend on department and event needs, but will include days, evenings, and weekends. Vacation time to be assigned based on years of service.

**Salary**: $55,000.00-$65,000.00 per year
