A Day in YOUR Life as a Catering Manager

Every person that enters a hotel should be greeted and feel like a guest This is YOU on your first day of work and every work day after that. You walk in, looking sharp and professional with a smile, say hello to passing guests and acknowledge your colleagues perhaps with a smile, nod or salutation. You already have a feel for how your day is going to unfold based on the flow and noise level in the lobby and you aren’t even working yet You make your way to the back of the house and jump right into preparing for the days challenges of handling events and ensuring your team has everything they need to be successful.

You may be preparing to set up a morning breakfast meeting or a wedding reception that is scheduled for the evening. Regardless of the time of day or length of shift you are ready to meet every guest with exceptional service and care

Your shift may start in the early morning or in the late afternoon, it depends on the event schedule. Your day starts as a meeting with the Kitchen Team to review the food menu of a future event. If there are no events scheduled, you communicate with your future guests to consult and discuss the food and beverage menus according to their event specifications. After clarifying your guest’s wishes, you plan a menu, order supplies, and schedule staff based on their budget. As a Catering Manager, you'll be responsible for meeting customer expectations and ensuring food and hygiene standards are met. One of the important duties of the Catering Manager is to ensure that the catering service complies with all local laws and regulations regarding food safety and handling. On the event day, you make sure that all the supplies, such as fresh produce or food supplies needed for the day are received or will be delivered in time for the event. You anticipate some changes could happen due to the quality of food, a distribution problem or a change in the number of guests. You are always prepared for those last-minute surprises that you may encounter. You will go through the Banquet Event Orders (BEOs) and communicate with the Food and Beverage Manager to ensure flawless operations. You oversee the table set-up and ensure that elements of a venue are ready, before guests arrive. In the kitchen, you confirm the preparation of food, measurement of food quantities, and different dietary requirements are followed. During the event, you interact with the host and respond to any requests or concerns they may have. You and your team check with each table to make sure that all of our guests enjoy their meals and drinks. You monitor your team’s activities throughout the event and assist them whenever they need it. Training new team members on service levels and up-selling is so important to a productive Catering team. As you monitor the quality of the product and service provided during the event, make sure to make time in your schedule to maintain stock levels and order necessary supplies. You also complete some administrative work relating to payments, budget and staffing for the next events. Every day is different with the ever-changing environment of the events world and you enjoy these challenges
By the time you leave, you are more than satisfied that your guests were all taken care of and had a great experience through the event, and you look forward to the next challenging day.

- You follow company policies such as planning food and beverage menusand any other requirements for the processes as outlined in your standards;
- Coordinate each event through budgeting and forecasting event space, negotiate to ensure the highest revenue;
- Train, resolve issues/problems, coach and counsel the team members to ensure a quality operation;
- Maintain a calm and welcoming demeanor while multitasking to handle guest interactions at the same time as your daily cleaning and preparation tasks;
- Listen respectfully when guests have complaints. Empathize and work with the guest in an efficient manner to come to a resolution or loop in a manager if necessary to ensure the guest has a satisfactory resolution to their complaint;
- Follow all company and brand standards to sell the products available including and not limited to using the up selling approach to food and beverage orders.
