**Clerkship Coordinator**:
**Primary Purpose**: To provide administrative support to a faculty educational leaders and clerkship staff in the Undergraduate Medical Education Program, College of Medicine.

**Nature of Work**: Reporting to the Manager, UGME and the Associate Dean Undergraduate Medical Education, this position is an integral part of the Clerkship administrative team. This position oversees the operational aspects of clerkship while providing immediate oversight to two clerical staff and indirect support to departmental staff, rotation provincial/site directors/coordinators and clerkship faculty. This position works independently and as part of a large team of colleagues across the province.

**Accountabilities**:This position provides administrative support to Clerkship students, faculty educational leaders, and departmental and distributed medical education staff, on behalf of the UGME.

Lead and manage the administration of the Clerkship component of the UGME program including but not restricted to the following:

- Responsible for learning management tool for core rotations and electives; scheduling, grades, forms, reminders, flags, assessment
- Inform and update policy and procedures set to meet accreditation standards for Clerkship
- Support and monitor the timely completion of formative and summative feedback, grade submission and Entrustable Professional Activities
- Provide direction and guidance to faculty and support staff across the sites to ensure compliance with policy and procedures related to electives, selectives, assessment, attendance, work hours, remediation and supplemental assessment, vaccination
- Facilitate NBME exam delivery within departments, including ordering and grades
- Develop and assist with syllabi development and updates for clerkship courses
- Track student progress for all sites and support students in academic difficulty
- Support and oversee consolidation weeks. Support Selected Topics in Medicine and Preparation for Residency courses; build the schedules in the curriculum management tool, work with CLRC for space requirements, manage grades
- Work with SHA to ensure call room availability, parking, travel, and housing (when required) for clerks
- Timely communication with responsible clerkship support staff and faculty about updates to all program and staffing/faculty changes or adjustments
- Oversee and support Clerkship Committee and promotion of clerkship students
- Represent clerkship on CDSC and EPA committees
- Work in collaboration with the Elective Coordinator and Career Advising and Mentorship Coordinator to ensure student electives meet the diversity requirement and fulfill minimum number of electives
- Act as student liaison with year and site chairs for student requests
- Willingness to become a Notary Public for document verification for AFMC
- Responsible for duties and projects as assigned, to support effective delivery and ongoing quality improvement of clerkship

**Qualifications**

**Education**: An undergraduate degree preferably in education, a heath related field or a degree related to leadership. An appropriate combination of education and experience may be considered.

**Experience**: Three to five years of related experience required, experience supporting faculty is preferred. Proficiency with SharePoint, Microsoft Office, Word, Zoom, WebEx, Canvas, and Excel is required. Knowledge of University processes, and College of Medicine programs including One45 would be an asset.
