Reporting to the Director of Catering and/or the Director of Conference Services, the Catering Coordinator will be responsible for the following:

- Prepare and distribute material and correspondence relating to the successful operation of the department such as contracts, letters and banquet event orders
- Act as the departmental liaison with guests in the absence of the Director and the Catering/Event Managers
- Assist with Group Pick-up reports, Event order detailing, Group Resumes
- Book internal hotel events
- Establish/maintain necessary procedures to ensure other departments are completely informed, i.e.: daily distribution, change log
- Share mail distribution
- Ensure prompt and courteous service is extended to both internal and external guests
- Effectively respond to general inquiries on the telephone and in person, and direct them appropriately
- Responsible for preparing and distributing the function sheets on a daily/weekly basis. This includes the prompt distribution of last minute changes to affected departments
- Administrative duties such as lobby board postings, daily signage, preparing weekly agenda and minutes, purchase orders, photocopying, faxing, etc.
- Assist the Catering and Conference Services as required
- Other duties and projects as assigned

**Qualifications**
- Knowledge of Food and Beverage and Banquet Services a strong asset
- Previous Administrative experience
- Bilingual in both official languages an asset
- Excellent computer skills with Word, Excel, Outlook,
- Ability to organize files and office systems
- Must be able to work independently and maintain a positive attitude within a very busy environment
- Ability to multi-task and take directions from numerous sources
- Ability to prioritize, maintain control over workloads and perform under pressure
- Excellent interpersonal and communication skills, both written and verbal
- Outstanding attention to detail and tenacious in pursuit of excellence
- Professional appearance and demeanor with a professional telephone manner
- Must be a proven team player who is motivated and can take initiative
- Must be flexible in hours of work
