Colonnade BridgePort is headquartered in Ottawa with offices in the Greater Toronto Area (“GTA”), and our continued growth and expansion has created an opportunity for an experienced full-time **Operations Manager - Mixed Use **located in Ottawa.
**OPERATIONS MANAGER - MIXED-USE**
Reporting to the Senior Operations Manager, in consultation with the Director of Residential Property Management, the Mixed-Use Operations Manager will be responsible for the overall co-ordination and implementation of all operational issues of the Mixed-Use Portfolio. They will work in co-operation and consultation with the Property Manager to ensure the efficient delivery of all property operational programs and the integrity of the asset(s) are maintained.
A key objective will be to lead and foster an environment and culture which supports the company’s ‘Best in Class’ mandate ensuring exceptional service delivery across all functional areas of the properties, while always striving to ensure superior tenant relations through personal contact and excellent customer service.
**Responsibilities**:
- Responsible for mechanical, electrical, plumbing, and life safety systems.
- Supervise and coordinate fire warden meetings, annual fire drill procedures and review of Firefighters’ Handbook and procedures.
- In consultation with the JHSC, Implement, supervise, and maintain a hazardous material program, i.e. WHMIS stations, etc.
- Supervise and co-ordinate the duties and responsibilities of operations staff working at the properties and provide input relating to their performance for their annual performance reviews.
- Provide ongoing coaching and mentoring for operations team assigned to the Mixed-Use Portfolio
- Supervise all third-party contractors servicing the Mixed-Use Portfolio.
- In consultation with the Operations Systems Manager, supervise and oversee the implementation and ongoing management of the property preventative maintenance program to ensure the efficient operation of all building equipment and minimize equipment failure.
- Ensure that all office, commercial and residential tenant service calls are responded to efficiently and in a timely manner.
- Promote owner/landlord/tenant relations through regular interaction with tenants and ensuring that their business or personal needs are satisfied in accordance with the terms of their respective lease agreements.
- In coordination with corporate operations, maintain and monitor the inventory of all tools and equipment.
- Review and approve in consultation with the Property Manager and Director, Residential Real Estate all proposed tenant improvements and ensure that the owners’ interests are represented appropriately.
- Maintain proper building operational files and records.
- Assist the Property Manager in preparing and implementing the annual operating budget for the property.
- Initiate the purchase of all supplies and services in accordance with the annual operating budget.
- Monitor, record and analyze the consumption of all utilities.
- Recommend and assist in the implementation of energy savings initiatives.
- Assist the Property Manager in the preparation of monthly operating reports, including the compilation of a monthly operational summary and a review of all operational expenditures in comparison with the budgeted expenditures, providing an explanation of all pertinent variances.
- Assist in the establishment and implementation of Tenant Move-in and Move-out Procedures; Tenant Fit-up Procedures, Tenant Manuals/Welcome Packages, Emergency Manuals, and other Tenant service-related programs.
- Monitor and review the Tenant Service Call System to address any ongoing problems at the property.
- Assist in the preparation of contract specifications for all third-party contracts relating to the property.
- Implement and maintain a building drawing inventory for all base building drawings and tenant fit ups and tenant drawings.
- Other duties as required.
**Qualifications**:
- Graduate from a post-secondary institution, or equivalent experience and industry-related designations, including BES certificate, SMT, SMA, FMA, RPA etc., obtained through BOMI International or other recognized institutions.
- Eight to ten years’ combined officer, commercial, and residential real estate property management experience.
- Knowledge and experience in working with office, commercial and residential building mechanical systems, including boilers, chillers, cooling towers, rooftop units, refrigeration, pumps, fans, motors, elevators, escalators, air conditioning controls, emergency generators, etc.
