Corporate Services is seeking one (1) Permanent Full Time Council and Committee Facilitator.

**Purpose of the Position and Profile**
The Council and Committee Facilitator will be responsible for facilitating Council and Committee meetings; maintaining Council records; act as Licensing Officer, Deputy Division Registrar, and Commissioner of Oaths; and assist in the operations of the Clerks Division.

**Responsibilities**:

- Prepares agendas and minutes, schedules of meetings, by-laws, resolution letters and any other materials for meetings of Council, Committee of the Whole, and other committees as assigned
- Attends Council, Committee of the Whole, Court of Revision, Dog Designation and Property Standards Committee meetings to take minutes, support meeting participants and facilitate audio/visuals/electronic participation
- Uses the electronic agenda software to publish agendas and supports Council use of meeting technology including YouTube Livestreaming and Zoom.
- Prepares correspondence on behalf of Council; tracks incoming Council correspondence ensuring placement on the agenda and follow-up as directed by Council
- Facilitates Township committees, including tracking minutes, managing Committee appointments and providing occasional support to other Committees of Council and internal staff committees
- Records management duties including: o maintaining the legal agreement, by-law and resolution database o updating by-laws, agendas, minutes and notices on the Township’s website o binding by-laws, minutes and other documents annually
- Processes Grants and Special Assistance requests
- Acts as Licensing Officer for the Township: o issues lottery, fireworks, trailer and vendor licenses, processes liquor licences o issues marriage licences and provides backup support for the Township’s marriage ceremony service
- Acts as Deputy Division Registrar under the Vital Statistics Act including issuing burial permits
- Acts as a Commissioner of Oaths, providing commissioning services
- Assists Council, staff and members of the public obtain by-law information as required
- Assists with departmental projects as assigned including background research and reports, communications, and Municipal Elections
- Other duties as assigned

**Qualifications, Knowledge, Skills and Work Requirements**:

- Ability to follow instructions and procedures, problem-solve and work independently, and to follow through on tasks
- A strong focus on providing exceptional customer service
- Knowledge of office and administrative procedures normally acquired through related office experience
- Knowledge of records management procedures and strength in maintaining paper and digital records
- Must have excellent interpersonal communication and teamwork skills and be able to interact well with members of Council, staff and the public
- Must be able to handle confidential and politically sensitive matters
- Excellent literacy is required for the preparation of reports, correspondence, minutes, etc. that become part of the public record. Understand and transcribe issues discussed at Council and Committee meetings into written meeting minutes
- Highly skilled in operating a personal computer with the ability to learn new software quickly. Experience with Microsoft Office (Word, Excel, Outlook, PowerPoint), YouTube Livestreaming, and agenda and document management software is an asset
- Working knowledge of legislation that affect municipalities, including the _Municipal Act, Highway Traffic Act, Planning Act_, _Provincial Offences Act _and _Accessibility for Ontarians with Disabilities Act, _is an asset
- Knowledge of municipal grants, licensing or vital statistics is an asset
- Ability to work in a fast-paced environment, to prioritize effectively and contribute to the Corporate Services team atmosphere

**Working conditions**:

- 35-hour work week, combination of regular office hours with regular evening requirements
- General Office environment
