General Responsibilities

Combination of administrative and medical tasks. Oversees and ensures smooth operation of the clinic. Manages new clients from scheduling initial appointments to enrollment in a program or assessment. Liaison between owners of the clinic and team. Creates new SOP’s and reviews/refines current SOP’s. Supports all staff by answering questions, giving direction and nurturing a positive and growth forward environment. Solving patient problems in a way that complements the mission of Kartar Health.

Functional Responsibilities

Responsibilities will include but are not limited to:

- Discovery call bookings
- Manage Ocean portal including new bookings through website
- Post discovery call program call
- Track current clients in spreadsheet
- Marketing bookings and lead calls
- Manage Tawk Chat
- Manage Asana tasks
- Manage supplement website (send to reception when shipping needed)
- Weekly Cash Deposits
- Track daily appointments in providers schedules
- Managing receptionist
- Responsible for acquiring and opening physician schedules in Accuro
- Managing coordination between practitioners and troubleshooting
- Onboarding/releasing admin staff
- Submit OHIP Billing and address any rejections
- Mentoring/teaching staff
- Creating Standard operating procedures/protocols for clinic staff and professionals, keeping the team updated on changes and training when necessary on those changes
- Responsible for recruitment/initial screening
- Navigate the fundamentals of business management and the formal processes of core management skills, including marketing, business planning, financial management, and performance evaluation
- Develop, implement, and monitor the clinic’s budget
- Monitor inventory completed by reception, ensure orders are accurate and necessary
- Complete routine performance reviews
- Ensure the healthcare facility is following provincial/territorial and federal healthcare regulations
- Update patient medical records as needed
- Organising clinical records, patient health records, and other essential documents and resources
- Solving patient problems in a way that complements the mission of your clinic
- Implementing any updates in healthcare standards
- Coordinate clinic flow and efficiencies and make sure clinic is working

Skills and qualifications:
Since Clinical Managers have such a wide array of duties and responsibilities, they must have good organisational skills to manage all of their tasks. A successful Clinical Manager will also hold skills and qualifications including:

- Excellent written and verbal communication skills
- Great analytical and decision-making skills
- Able to lead and motivate a team confidently
- Knowledge of medical terminology, and provincial/territorial and federal regulations
- Understanding of finances to create and monitor a budget

Clinical Manager Experience and Training Requirements:

- 2-3 years of experience in a healthcare setting, preferably in a manager role
- Bachelor’s degree in healthcare administration, medical services administration or a similar field
- College diploma or certificate in clinical management
- Clinical experience preferred
- Phlebotomy certification preferred

This position is in person, occasionally working remotely. Working hours are Monday to Friday from 9am - 5pm with occasional weekends required for team building and training exercises.

We are currently hiring for a 1 year mat leave contract. This position has the potential to be permanent after this period of time.

**Job Types**: Full-time, Fixed term contract
Contract length: 12 months

**Salary**: $20.00-$23.00 per hour
