**Primary function**
Provide support in the day to day management of the Toronto District with respect to staff and per diem court scheduling and resources planning, reporting and business forecasting and analysis. The Workforce Planner will work closely with the Toronto District Management team, its staff and per diems to ensure an everyday seamless continuum of services for LAO’s vulnerable, marginalized and at-risk clients.

**Key accountabilities**
- Build daily family and criminal court schedules and designate shifts to staff and per diem duty counsel
- Build Weekend and Statutory Holiday (WASH) Court schedules and designate shifts to staff and per diem duty counsel
- Manage time-off requests and absenteeism in coordination with the Toronto District Management Team and address shift vacancies as needed in a timely fashion
- Review existing scheduling and staffing processes, and identify opportunities for improved efficiencies, including schedule rotation, hours of operation, and employee and per diem staffing for each line of business in Toronto criminal and family courts
- Have oversight of and maintain and update configuration of the workforce planning tool
- Have oversight of and maintain and update configuration of staff inventory, including profiles, skillsets, scheduling patterns in the workforce planning tool
- Train staff, per diems and managers on the functionality of the workforce planning tool
- Assigning per diems to shifts through Service Integration
- Work closely with the developer of the workforce planning tool to eliminate nuances and collaborate with managers and staff to ensure effective use of the tool
- Create forecasts by analyzing past work volumes, staffing patterns, and any other factors to employ future staffing levels that will enable distinctive, efficient client service experiences across all lines of business
- Maintain and review holiday patterns with the management team to ensure that holidays are effectively covered
- Maintain accurate staffing data, analyze staffing levels and make recommendations for long term staffing plans based on service levels and evolving service channels
- Work cross-functionally with other managers in the department to resolve service impacting issues
- Provide detailed weekly and monthly scheduling reports, and updates to the management team
- Build and maintain per diem duty counsel rosters for Toronto District court sites and foster rapports with per diem duty counsel
- Other tasks and duties as required
**Required skills & experience**
- Demonstrated knowledge of forecasting, reporting, business analytics
- Experience in staff scheduling
- Knowledge of court processes, staffing requirements and business needs
- Strong computer skills that include proficiency Word, Power Point and advanced proficiency in Excel; Advance to Expert Pivot table experience
- Excellent ability to communicate with various management levels and court stakeholders
- Strong communication skills; must be accustomed with delivering training and presentations
- Demonstrated flexibility and ability to adapt to fast and changing needs
