Vivo Family Medicine has an opportunity for one full-time summer student office assistant to work at a medical clinic with a heavy emphasis on patient care and satisfaction. The overarching purpose of Vivo Family Medicine is to provide the best primary care with the aim of continually improving the patient experience. We aim to hire a summer student with an interest in medicine and health technology.

The overarching task of the Office Assistant is to support Vivo Family Medicine doctors in clinic operations, creating clinic efficiencies, and assist in the delivery of care to all patients in the Kingston/Victoria Park area and beyond, including people with disabilities, seniors, children, and visible minorities. The Office Assistant will be responsible for fulfilling many administrative and patient care duties in the front and back of the office, including patient communication, scheduling, coding and filing. The Office Assistant may also assist in projects related to developing health technology and working with the electronic medical record system. The Office Assistant may often be the first point of contact between patients and Vivo Family Medicine, therefore our clinic is looking to hire a student who enjoys interacting with patients and families and can support a warm and welcoming clinic environment.

The Office assistant is required to demonstrate confidentiality, flexibility and initiative while meeting the needs of patients, families, and care team members. All work should be delivered to standards and procedures established in the Vivo Family Medicine procedure manual or otherwise requested by Vivo Family Medicine doctors.

Duties include:

- Coordinating patient care through the clinic (checking in, prepping, escorting to exam rooms, preparing exam or treatment rooms, answering questions, providing post-appointment service, monitoring the waiting room)
- Working with the lead physician on developing clinic efficiencies through health technology and the electronic medical record system.
- Answering enquiries by phone and in person in a helpful, respectful and efficient manner
- Maintaining appointment schedule
- Processing incoming and outgoing mail, courier and faxes
- Monitoring and ordering office and clinic supplies
- Ensuring exam rooms are stocked appropriately and ensuring that they are ready for the next patient
- Assisting physicians when requested
- Performing all other related clinical, administrative tasks or special tasks as required.

Pay: $18.00 per hour
