**SUMMARY**

The **Manager, Lease Administration **is responsible for leading, directing and motivating the team responsible for managing client and BGIS leased/owned properties. The Lease Administration Manager is responsible for the integrity of the property database, accurate and timely reporting (including critical date recording), the generation of rental payments and the overseeing the desk-top lease audit function. This role will also be involved in corporate initiatives such as new client transitions and projects related to lease management service delivery. The Manager interacts with BGIS Senior Management, Client, and other key stakeholders and ensures a high standard of service excellence is maintained.

**KEY DUTIES & RESPONSIBILITIES**

**People Leadership**
- Demonstrates strong, competent leadership for team members to guide them in reaching their full potential and meeting their objectives, which supports achievement of our corporate goals. Specifically, these responsibilities include but not limited to:

- Full involvement with recruiting talent.
- Provides mentoring, coaching and guidance to all team members.
- Objectively recommends compensation adjustments.
- Manages all aspects of performance.
- Manage the Lease Administration team to ensure that all lease data is maintained and updated in accordance with the standards stipulated by the client and internal quality standards.
- Maintain an effective succession planning strategy.

**Rent Management**
- Oversee the preparation of the monthly and weekly rent-rolls to ensure that all rent payments are accurate and issued in accordance with the lease documentation. This is for both payable and receivable leases within the portfolio as well as property taxes for owned sites.
- Responsible and accountable for the payment and billing of invoices to landlords and tenants. Oversee collection activities for outstanding tenant amounts and report accordingly to the client/internal stakeholders.

**Lease Administration**
- Interact and work with Corporate transactions, FM team, and finance team for all items related to BGIS corporate leases.
- Oversee the day to day operations of the Lease Administration department and provide ongoing support to the Team Members.

**Reporting and Communication**
- Responsible for overseeing the preparation and review of all critical client and BGIS reporting.
- Communicate with the client’s Senior Management to ensure BGIS is acting in accordance with their goals and objectives.

**Best Practice and Improvement Recommendations**
- Assist and recommends lease management system improvements and efficiencies to the Director.
- Assist in the development of tools to leverage information, create cross contract synergies and increase efficiencies.
- Advise, assist and support Senior Management in developing new business opportunities as it relates to lease administration and lease audits.

**Audit and Controls**
- Responsible for BGIS desktop’ operating cost audit program for the clients involved and oversees the team members involved in delivering this service, including reports on the status of audits.
- Ensure adequate internal controls are maintained with respect to the payment of invoices and rents pursuant to lease agreements and other agreements as well as internal audit compliance.

**Property Tax**
- This position may provide oversight on the delivery of property tax payments, audit, assessment review and appeal functions for client owned properties.
- Other duties as assigned (ex. New business initiatives etc.)

- Advanced MS Excel and/or other Business Intelligence Software (example MS PowerBI).

- General understanding of lease accounting (budgets/forecasts, IFRS16 etc.).

- General knowledge of commercial real estate practices and processes.

**Licenses and/or Professional Accreditation**
- Real Property Administrator Designation an asset.
- Facility Management Administration Designation, an asset.
