**Membership Services Manager - Full-Time (1-year contract)**

**Society of Graduate Students (Middlesex College, Western University)**

**Overview**:The Membership Services Manager is responsible for office, services, and membership support, and is the primary organization contact for inquiries from graduate students, academic departments, and campus partners. The Membership Services Manager administers SOGS services and programs, including, but not limited to, the SOGS Health & Dental plan, SOGS financial aid programs, and graduate bus pass program with the assistance of the part-time front desk support staff. The Membership Services Manager reports to the SOGS President and works in collaboration with the SOGS Managerial Staff and SOGS Executive. The part-time front office support staff will report to the Membership Services Manager.

The Membership Services Manager is a salaried, full-time, 35-hour per week position, and includes employee health benefits.

**ROLES AND RESPONSIBILITIES**

**General Office and Services Support**
- Will provide professional, knowledgeable, and helpful staffing support to graduate students, graduate programs, university administration, and campus partners;
- Will be knowledgeable of SOGS services, programs, and resources, as well as services and supports for graduate students provided by the university;
- Will oversee the part-time front desk support staff;
- Will receive and respond to all student inquires, and will redirect inquiries to the appropriate Executive, Officer, Commissioner, committee, staff member, person, or university department when appropriate;
- Will provide graduate administrative assistants and campus partners with relevant information about SOGS services and programs available to graduate students at Western;
- Will understand and seek out current SOGS policies and procedures that affect office administration;
- Will be responsible for money submitted to the SOGS office for financial transactions, such as Health & Dental Plan opt ins, ticket sales, and bus pass opt-ins;
- Will maintain and balance the Membership Services Manager float in coordination with the Finance Manager;
- Will be responsible for all the Society’s mail-outs, including cheques and subsidies;
- Will oversee the scheduling of office hours, including extended office hours as appropriate.

**Staff, Executive, and Committee Support**
- Will support the Finance Manager and Bursaries & Subsidies Committee by preparing the necessary spreadsheets for subsidy adjudication;
- Will support the Finance Manager by assisting with the administration of the food bank program, including the purchasing of food bank vouchers and distributing vouchers to approved applicants;
- Will support the VP Student Services and Food Bank Committee with staffing support for Committee projects and initiatives as appropriate;
- Will support the VP Student Services and the Graduate Peer Support Committee with staffing and training support as appropriate;
- Will support the VP Finance and the Bursaries and Subsidies Committee with staffing support as appropriate;
- Will have a monthly meeting with the VP Academic to discuss member concerns and possible Executive Academic and Advocacy Initiatives;
- Will attend training sessions with the VP Academic and Academic Peer Advisor as appropriate;
- Will attend regular meetings with PSAC 610 and the VP Academic as appropriate;
- Will attend training sessions as appropriate, including but not limited to training coordinated with the SOGS Executive;
- Will attend meetings with the SOGS Executive and relevant campus partners pertaining to graduate student wellness, programs, services, resources, and financial supports as appropriate;
- Will attend and participate in Council to provide input and expertise as appropriate;
- Will collaborate with SOGS Staff and SOGS Executive with additional tasks as needed.

**Student Support**

**General**:

- Will be knowledgeable about the various graduate student services, resources, and programs available on campus and be able to direct students to the appropriate services or campus partners;
- Will meet with students by appointment to discuss complex and/or confidential issues;
- Will assist students in locating various places, services, and resources on campus;
- Will be supported by the SOGS Executive to obtain and attend relevant training deemed necessary for the Membership Services Manager position at the expense of the Employer;
- Will be responsible for handling student inquiries and providing staffing support for student concerns that are sensitive, confidential, and complex in nature;
- Will be the organization point of contact for students needing to speak to a staff member about confidential matters.

**Bus Pass**:

- Will issue bus passes to students using current technology and requirements.
- Will issue receipts for bus-pass opt-ins;
- Will be the point of contact for Accessibility, Medical Leave, and Co-op bus passes services
