Employees of the DTSSAB make a positive difference in people’s lives by providing quality, person-centered and inclusive services. The DTSSAB is the system service manager for child care and early years agencies that provide licenced child care, home child care, special needs resources, and before and after school programs in child and family centres within the District.
Reporting to the Children’s Services Supervisor, the incumbent assists the entire Children’s Services Team by performing various administrative support functions. The position also assists other DTSSAB programs by providing reception relief, as required.
**Key Responsibilities**:
- Provide administrative support to members of the Children’s Services Program
- Assist the Children’s Services Eligibility Worker: set up initial contact with clients, maintain communication, schedule appointments, respond to general inquiries, prepare and update client files
- Communicate with agencies, providers and external community partners, as required or directed
- Respond to general inquiries, as a first point of contact, related to Children Services, and provide general information as requested
- Maintain Program and client information, compile data for reports, and update the Program’s database and records
- Receive and review correspondence, prepare standard draft communications, and issue client correspondence, as directed
- Perform administrative support duties: copy/scan records, maintain digitized filing, assist with promotion initiatives and coordination of special events, help with meeting agendas, record meeting minutes, etc.
- Perform regular reception coverage for breaks and perform associated duties, for breaks and as backup during absences
- Participate in special assignments and/or assist other DTSSAB programs, in a related administrative support capacity, as assigned
- Other duties as assigned
**Qualifications**:
- Graduate of post-secondary education in Office Administration, or its equivalent, with training in general administrative procedures. Education related to Early Childhood Education is considered an asset.
- Minimum of one (1) year of direct client-service experience and/or training, preferably in a childcare, human or social services setting, providing administrative support, working in a computerized environment processing requests, including data entry. An equivalent combination of education/experience may also be considered
Bilingualism (fluency and proficiency in French and English written and verbal communication) is required
- Effective communication, writing skills, and the ability to accurately receive, process and relay information
- Proven attention to detail and the ability to follow direction, well-defined steps, processes, policies, and procedures
- Excellent organizational skills and time-management abilities to identify priorities, manage workload, meet deadlines
- Excellent interpersonal/relationship building skills to work effectively as a team member and interact with members of the public, and individuals served, in a person-centered manner
- Demonstrated emotional intelligence and situational awareness to empathetically respond to emotionally charged situations
- Knowledge of basic mathematical techniques to ensure accuracy of calculations for common problem solving
- Effective problem-solving skills and ability to employ sound judgement and decision-making
- Intermediate computer proficiency, ease of working in a computerized environment (use of Microsoft Word, Outlook, basic Excel functions),ability to develop proficiency with programs and database used, and successfully adapt to technology changes
- The ability and willingness to attend occasional meetings within the district is required
