**Title**:Receptionist
**Status of employment**:Part-time (20 hours), Permanent
**Office Location**:Shubenacadie, NS

**Position Summary**:
As a member of the administrative team, the Receptionist is responsible for managing the front desk. The Receptionist performs a variety of administrative tasks including but not limited to greeting visitors, handling incoming mail, directing inquiries, or scheduling meetings to ensure the smooth day-to-day functioning of the office.

**Key Responsibilities**:
We are looking for a professional, reliable, and extremely organized individual able to multitask. The successful individual will be responsible for all administrative tasks including but not limited to:

- Answer multi-line telephone, greet visitors, and direct appropriately
- Receiving, distributing, and delivering mail and courier on a timely basis
- Photocopy and collate materials, scan documents when requested, and convert documents to alternate formats
- Check incoming faxes and distribute them accordingly
- Post notices and maintain bulletin boards
- Manage phone list ensuring it is up to date and distribute as required
- Maintain and update inventory records for assessment/treatment materials and equipment
- Record room reservation bookings and resolve conflicts. Prepare sign-up sheets/calendars for meeting rooms
- Taking and distributing messages
- Maintain cleanliness of the reception area
- Operating office equipment
- Managing and maintaining files
- Maintaining visitor logs
- Maintain security by following procedures and monitoring the logbook

**Qualifications**:

- High school diploma or equivalent
- Previous work experience as a receptionist
- The ability to speak Mi'kmaw is considered a key asset
- Excellent organizational skills with a proven ability to prioritize competing priorities
- Exceptional oral and written communication skills
- Ability to work independently in a fast-paced highly confidential environment
- Excellent proficiency in Microsoft Office as well as familiarity with Outlook
- A valid driver's license, and access to a reliable vehicle

**Classification Range**: CL13(1) - CL13(5)
